Full job description

About the Role

We are looking for a detail-oriented Back Office Coordinator who will support our Government Tender, Sales, Procurement and Operations teams. The ideal candidate should have experience in handling government tenders, preparing quotations, coordinating with OEMs/vendors, maintaining documentation and ensuring smooth communication between Sales, Accounts and Operations.

This is not a field networking or hardware support role. It is an office-based techno-commercial coordination position.

Key Responsibilities

Study Government RFPs, RFQs and tender documents.
Prepare BOQ/BOM based on tender requirements.
Coordinate with OEMs, distributors and vendors for quotations and product availability.
Prepare competitive techno-commercial quotations and costing proposals.
Compare vendor quotations and negotiate for best commercial pricing.
Maintain email communication with customers, vendors and internal teams.
Maintain tender documentation, quotation records and inventory documentation.
Coordinate with Accounts for purchase orders, invoices and payment follow-ups.
Coordinate with Operations for material dispatch, delivery status and project documentation.
Maintain proposal templates, pricing records and supporting documents.
Ensure timely submission of quotations and tender-related documents.
Prepare MIS reports and maintain organized records.

Required Skills

Experience in Government Tender/RFP handling.
Good understanding of IT Hardware, Networking and Infrastructure products.
Ability to prepare BOQs and commercial quotations.
Strong Excel skills (VLOOKUP, Pivot Tables preferred).
Good knowledge of MS Word, Outlook and documentation.
Excellent follow-up and coordination skills.
Good written and verbal communication.
Strong attention to detail and ability to work under deadlines.

Preferred Background

Instead of restricting the role to engineers, candidates may come from any of the following backgrounds:

Any Graduate
B.Com
BBA
BCA
Diploma in Computer Hardware/IT
Diploma in Electronics
MBA (Marketing/Operations)
Graduates with relevant experience in Government Tendering or IT Procurement

Relevant experience is more important than educational qualification.

Preferred Experience

Candidates who have worked in any of the following industries will be preferred:

IT System Integrator (SI)
IT Hardware Company
Networking Company
CCTV & Security Solutions
IT Distribution
Government Tendering
IT Procurement
Technology Solutions Provider

Comfortable handling multiple tasks simultaneously
Able to work independently with minimal supervision

This is a coordination and documentation role, not a field technical support or network implementation position.

Pay: ₹20,000.00 - ₹35,000.00 per month
