Executive Secretary to CEO | Executive Assistant

Location: Bhubaneswar, Odisha
Employment Type: Full-Time

We are seeking a highly capable, professional, and proactive Executive Secretary to support the CEO and leadership team in managing business operations, executive priorities, client interactions, and strategic initiatives.

This role is far more than calendar management and administrative support. It is an opportunity to work closely with leadership, gain exposure to business strategy and decision-making, interact with clients and stakeholders, and become a key contributor to the organization's growth.

The ideal candidate is confident, highly organized, disciplined, and capable of handling responsibilities with maturity, professionalism, and discretion.

Key Responsibilities Executive Support:

Manage executive calendars, appointments, meetings, and travel schedules.
Coordinate and organize internal and external business meetings.
Prepare presentations, reports, meeting minutes, and business correspondence.
Track priorities, deadlines, and action items to ensure effective execution.
Handle confidential information with the highest level of professionalism and discretion.

Business Coordination:

Act as a central point of coordination between leadership, teams, clients, and external stakeholders.
Support the execution of strategic and operational initiatives.
Ensure timely communication and follow-ups across departments.
Maintain accurate records, documentation, and executive reports.

Client & Stakeholder Management:

Participate in client meetings and business discussions.
Build and maintain professional relationships with clients, partners, and stakeholders.
Represent the organization professionally in meetings, events, and business engagements.
Assist leadership in managing business relationships and opportunities.

Operational Excellence:

Anticipate executive needs and proactively address challenges.
Ensure smooth day-to-day functioning of the executive office.
Manage multiple priorities while maintaining attention to detail.
Support leadership in achieving business objectives through efficient coordination and execution.

Preferred Qualifications

Bachelor's degree in Business Administration, Management, Communications, Human Resources, or a related field.
0–2 years of experience in Executive Assistant, Executive Secretary, Personal Assistant, Administrative Coordinator, Business Coordinator, or similar roles.
Exceptional fresh graduates with strong communication skills, confidence, professionalism, and learning agility are encouraged to apply.
