ADMIN OFFICER – SCHOOL

Job Summary

We are looking for an experienced and organised Admin Officer to oversee the day-to-day administrative operations of the school and ensure a safe, efficient, well-maintained and professionally managed school environment.

Key Responsibilities

Manage the day-to-day administrative operations of the school.
Coordinate with the Principal, Academic Team, HR, Accounts, Security, Transport, Housekeeping and other departments.
Supervise administrative and support staff, including housekeeping, security, maintenance and other outsourced staff.
Manage school infrastructure, facilities, furniture, equipment and general maintenance.
Coordinate repair, maintenance and upkeep of classrooms, offices, laboratories, common areas, washrooms and campus facilities.
Monitor cleanliness, hygiene, sanitation and overall campus upkeep.
Manage vendors, contractors and service providers and monitor their performance.
Coordinate procurement of stationery, housekeeping materials, office supplies and other administrative requirements.
Maintain inventory and stock records and ensure timely replenishment.
Monitor security arrangements, visitor management and access control in coordination with the Security Team.
Coordinate fire safety, emergency preparedness and other campus safety measures.
Maintain records relating to AMC, maintenance, equipment, vendors and statutory/administrative documents.
Coordinate school events, meetings, functions, workshops and other programmes from an administrative perspective.
Ensure timely arrangements for seating, logistics, infrastructure and other requirements for school events.
Handle administrative complaints and ensure timely resolution.
Monitor electricity, water, sanitation, housekeeping and other essential services.
Ensure proper functioning and maintenance of school equipment and facilities.
Coordinate with Transport and other departments for smooth day-to-day school operations.
Prepare administrative reports, MIS and records for management.
Ensure compliance with school policies, safety procedures and administrative protocols.
Handle emergencies and coordinate immediate corrective action whenever required.

Candidate Profile

Graduate/Postgraduate in any discipline; qualification in Administration, Management or related field will be an advantage.
5–8 years of relevant experience, preferably in a school, educational institution, corporate office or large organisation.
Experience in managing support staff, vendors, facilities and day-to-day administration.
Strong knowledge of facility and vendor management.
Good communication, coordination and negotiation skills.
Strong organisational and problem-solving abilities.
Proficiency in MS Office/ERP and administrative record management.
Ability to manage multiple responsibilities and work under pressure.
Strong sense of responsibility towards school safety, discipline and smooth operations.
