Full job description

Designation: Dispatch Executive
Department: Dispatch / Logistics
Location: Sachin, Surat
Employment Type: Full-Time
Reports To: General Manager

Job Purpose

To handle day-to-day dispatch and logistics activities and ensure timely, accurate and efficient movement of finished goods to customers, dealers and branches across India.

Key Responsibilities

Plan and schedule dispatches based on production status, stock availability and committed delivery timelines.
Coordinate with production, store, sales, purchase and accounts teams to confirm dispatch priorities and readiness.
Arrange transporters and negotiate freight rates and transportation terms within approved authority.
Coordinate timely vehicle placement, loading and dispatch of finished goods.
Ensure dispatch documentation, including invoices, delivery challans and e-way bills, is complete and accurate before shipment.
Track shipments and coordinate with transporters to resolve delays, damages or other in-transit issues.
Plan routes and delivery schedules for pan-India shipments and monitor delivery status.
Provide regular dispatch updates to sales, management and other concerned teams.
Maintain dispatch MIS, delivery trackers, transporter records and related documentation.
Lead and coordinate dispatch executives, warehouse assistants and logistics support staff.
Monitor freight costs, delivery performance and transporter performance and report significant variances.
Ensure proper handling, packing and loading practices to minimise transit damage.

Qualifications & Experience

Graduate in Supply Chain, Logistics, Commerce, Business Administration, or a related field.
2–4 years of experience in dispatch, logistics, transportation or supply chain operations.
Candidates with practical supply chain and logistics exposure will be preferred.
Good knowledge of transportation coordination, vehicle placement and shipment tracking.
Familiarity with e-way bills, invoices and delivery challans.
Good working knowledge of MS Excel.
ERP experience will be an advantage.
Good communication, coordination and follow-up skills.
