Full job description

Job Purpose:

To provide efficient administrative, secretarial, and coordination support to the Managing Director, ensuring smooth day-to-day operations, effective communication, and timely execution of tasks.

Key Responsibilities:

Manage the MD's calendar, appointments, meetings, and travel arrangements.
Prepare correspondence, reports, presentations, and meeting minutes.
Screen and handle telephone calls, emails, and visitor interactions professionally.
Coordinate communication between the MD and various departments
Maintain confidential records, documents, and files accurately.
Monitor and follow up on action items assigned by the MD to ensure timely completion.
Organize meetings, events, and management reviews, including logistics and documentation.
Assist in preparing management reports related to sales, operations, and business performance.
Handle routine administrative duties such as filing, data entry, and office coordination.
Uphold strict confidentiality regarding business information and executive matters.

Qualifications:

Bachelor's degree in Business Administration, Commerce, or a related field.
Certification in office administration or secretarial practice is an added advantage.

Experience:

3–5 years of experience as an Executive Secretary, Personal Assistant, or Office Secretary, preferably in the automobile industry or a fast-paced business environment.

Required Skills and Competencies:

Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to handle multiple tasks and work under pressure.
High level of discretion, integrity, and confidentiality.
Good interpersonal skills and professional etiquette.
Strong follow-up and coordination capabilities.
Attention to detail and problem-solving skills.

Working Conditions:

Full-time position based at the dealership's corporate office.
May occasionally require extended working hours to support business meetings and events.
