We are Hiring: Site Administrator | GALAXY IEC India Pvt Ltd.

Location: Bharuch, Gujarat
Industry: Engineering, Procurement & Construction (EPC)
Department: E&I Projects

We, GALAXY IEC INDIA PVT. LIMITED., are an Engineering Procurement and Construction and Commissioning Company [EPC Contractor] in Electrical, Automation and Instrumentation sectors. Our client list consists of leading national & international manufacturing companies in the areas of Chemicals, Petrochemicals, Pharmaceuticals, Food and Breweries, Oil and Gas and others.

Role: Site Administrator

Desired Skills and Qualification:

· Graduate or equivalent qualification preferred

· Minimum 1–3 years of experience in site administration / office administration

Key Responsibilities

· Manage site office coordination to ensure smooth day-to-day administrative operations

· Handle site-level client coordination and communication, including calls, emails, and follow-ups

· Coordinate with site vendors, contractors, and service providers for project-related requirements

· Maintain vendor records, contact details, and supporting documents at the site

· Prepare, verify, and process vendor bills, site expenses, and invoices for submission to HO

· Follow up with vendors and internal teams for timely invoice submission, approvals, and payments

· Maintain proper documentation for vendor agreements, POs, work orders, and billing records

· Prepare and update Excel-based site reports, including billing status, expenses and attendance

· Support overall site administrative activities such as record keeping, filing, and coordination

· Coordinate with engineering, procurement, accounts, and HR teams for site-related approvals
