Position Overview
The Personal Assistant to the CEO will provide executive, administrative, and strategic support to the CEO. The role requires exceptional organizational skills, stakeholder management, project coordination capabilities, and the ability to work closely with senior leadership, government agencies, clients, and business partners.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the CEO's calendar, appointments, meetings, and travel schedules.
- Organize domestic and international travel, accommodation, and logistics.
- Screen and prioritize emails, calls, and correspondence.
- Prepare meeting agendas, presentations, reports, and briefing notes.
- Record and circulate meeting minutes and follow-up action points.
Project Coordination
- Track ongoing consulting, government, training, technology, and capacity-building projects.
- Coordinate with project managers and department heads to monitor deliverables.
- Follow up on pending actions and maintain project status dashboards.
- Support the CEO in strategic planning and execution of key initiatives.
Stakeholder Management
- Act as a liaison between the CEO and clients, government departments, partners, and internal teams.
- Coordinate meetings with senior officials, business leaders, and external stakeholders.
- Maintain professional relationships and ensure timely communication.
Business Operations Support
- Assist in preparing proposals, business presentations, and management reports.
- Conduct research and prepare summaries on new business opportunities, government tenders, and market developments.
- Support business development and partnership initiatives.
- Maintain confidential records and sensitive business information.
Event & Representation Support
- Coordinate conferences, workshops, training programs, and corporate events.
- Represent the CEO in internal coordination meetings when required.
- Ensure smooth execution of leadership engagements and business visits.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Commerce, or related field.
- MBA preferred.
- 3–7 years of experience as Executive Assistant, Personal Assistant, Executive Coordinator, or similar role.
- Excellent verbal and written communication skills.
- Strong proficiency in MS Office (Excel, PowerPoint, Word, Outlook).
- Experience working with senior leadership or CXO-level executives.
