Sachhi Saheli is a Delhi-based development sector organisation working in the areas of menstrual health, adolescent health, gender, reproductive health awareness and life skills education.
The organisation works with adolescents, teachers, parents, frontline workers, government schools, community stakeholders, government departments and CSR partners to deliver structured, stigma-free and age-appropriate health education programmes. Sachhi Saheli’s work includes school-based sessions, community interventions, mentor-led programmes, peer education models, capacity-building workshops, IEC-based awareness campaigns, resource material distribution and large-scale menstrual health initiatives.
Role Overview
Sachhi Saheli is looking for a Project Coordinator – Project Implementation and M&E to support the implementation, monitoring and documentation of its ongoing projects.
The Project Coordinator will serve as the key link between the field team and the Project Manager. The role will involve coordinating daily field activities, tracking project progress, supporting field teams, maintaining project data, verifying documentation, assisting in monitoring and evaluation, and preparing regular project updates.
This is a field-facing role that requires strong coordination, follow-up, documentation and data management skills. The candidate should be comfortable working with field teams, schools, adolescents, teachers, frontline workers and local stakeholders.
Key Responsibilities
A. Project Coordination and Field Implementation
- Coordinate day-to-day implementation of assigned school-based and community-based project activities.
- Act as the operational bridge between field teams, mentors, trainers, community mobilisers and the Project Manager.
- Prepare and maintain activity calendars, monthly work plans, field visit schedules and school-wise implementation plans.
- Track completion of workshops, classroom sessions, teacher orientations, peer-led activities, community meetings, awareness events, health camps, material distribution and other project activities.
- Follow up with field teams to ensure that planned activities are completed as per approved timelines.
- Support logistical planning for sessions, trainings, meetings, field visits, events and distribution activities.
- Identify implementation delays, field-level challenges and operational gaps, and report them to the Project Manager in a timely manner.
- Ensure that project activities are implemented in line with Sachhi Saheli’s programme approach, content standards and project objectives.
B. Field Team Coordination and Follow-up
- Coordinate regularly with mentors, field coordinators, trainers and community mobilisers.
- Communicate activity plans, reporting expectations, documentation formats and timelines to field teams.
- Follow up for timely submission of attendance sheets, photographs, session reports, feedback forms and field updates.
- Support field teams in understanding monitoring formats, data collection tools and documentation requirements.
- Participate in field team review meetings and share updates on activity progress, gaps and pending tasks.
- Support the Project Manager in tracking field team performance, task completion and reporting discipline.
- Provide feedback to field staff on documentation quality, completeness of records and accuracy of submitted information.
C. Monitoring, Evaluation and Data Management
- Maintain project trackers for schools, beneficiaries, sessions, workshops, trainings, events, distribution activities and stakeholder engagement.
- Track project progress against approved targets, outputs, milestones and timelines.
- Support the collection, compilation and verification of beneficiary data, attendance records, pre-test and post-test forms, feedback forms and field reports.
- Check field data for completeness, accuracy and consistency before sharing it with the Project Manager.
- Coordinate with field teams to correct missing, incomplete or inconsistent data.
- Support baseline, endline, pre-test, post-test, feedback and evaluation processes, wherever applicable.
- Assist in data entry, data cleaning, data compilation and basic data analysis.
- Maintain organised digital and physical records of project documents and means of verification.
- Support preparation of monitoring summaries, monthly progress updates and internal review notes.
D. Documentation and Reporting
- Prepare activity reports, field visit reports, meeting notes, monthly updates and progress summaries.
- Compile and organise project documentation including attendance sheets, photographs, testimonials, feedback forms, case stories and field reports.
- Support preparation of donor reports, CSR reports, quarterly reports, completion reports and internal review documents.
- Ensure that all reported activities are supported by proper documentation and means of verification.
- Document field observations, implementation challenges, success stories, testimonials, lessons learnt and good practices.
- Support the Project Manager in preparing project presentations, review decks, project briefs and communication material.
- Ensure that documentation captures both quantitative progress and qualitative insights from the field.
E. Stakeholder Coordination
- Coordinate with school authorities, teachers, nodal teachers and institutional representatives for scheduling and implementation of project activities.
- Support communication with government departments, frontline workers, community representatives and local partners, wherever required.
- Assist in obtaining school-level confirmations, permissions, attendance records and activity approvals.
- Support donor visits, government visits, senior team visits and project review meetings.
- Maintain clear, professional and respectful communication with all stakeholders.
- Ensure that stakeholder coordination reflects Sachhi Saheli’s values of dignity, accuracy, sensitivity and inclusion.
F. Quality Monitoring and Programme Support
- Conduct field visits to monitor project implementation and verify field documentation.
- Observe sessions and activities to check whether approved plans, content standards and reporting protocols are being followed.
- Ensure that field activities are adolescent-friendly, gender-sensitive, age-appropriate and stigma-free.
- Share field observations, quality concerns and improvement points with the Project Manager.
- Support corrective action in case of implementation gaps.
- Assist in strengthening field processes, documentation systems and coordination mechanisms.
- Support special project activities such as peer leader sessions, menstrual health campaigns, Period Fest, Pad Yatra, teacher orientations, health camps, community meetings and material distribution drives, depending on project requirements.
Required Qualifications and Experience
- Bachelor’s or Master’s degree in Social Work, Development Studies, Public Health, Gender Studies, Psychology, Sociology, Education, Rural Development, Community Development, Public Policy or a related field.
- 2–4 years of relevant experience in project coordination, field implementation, programme operations, monitoring and evaluation, documentation, reporting or NGO project management.
- Experience in coordinating field teams, maintaining project trackers and supporting donor reporting will be an added advantage.
