Job Title: Purchase Manager / Purchase Executive

Location: Vijay Group of Institutions, Dharmapuri
Department: Administration & Procurement
Employment Type: Full-Time

Job Summary

Vijay Group of Institutions is seeking a proactive and detail-oriented Purchase Manager / Purchase Executive to oversee procurement activities for the institution. The ideal candidate will be responsible for sourcing quality products and services, negotiating with vendors, ensuring timely procurement, maintaining inventory coordination, and achieving cost-effective purchasing while complying with institutional policies and procedures.

Key ResponsibilitiesProcurement & Purchasing

Plan, coordinate, and execute the procurement of goods and services required by the institution.
Receive and process purchase requisitions from various departments.
Identify reliable vendors and obtain competitive quotations.
Compare quotations based on quality, price, delivery timelines, and service support.
Prepare purchase orders and ensure timely delivery of materials.

Vendor Management

Develop and maintain strong relationships with vendors and suppliers.
Negotiate pricing, payment terms, warranties, and delivery schedules.
Evaluate vendor performance regularly based on quality, cost, and service.
Identify and onboard new vendors to improve procurement efficiency.

Inventory Coordination

Coordinate with the stores department to monitor stock availability.
Ensure timely replenishment of essential items to avoid shortages.
Maintain optimum inventory levels while preventing overstocking.
Verify the quality and quantity of received materials against purchase orders.

Budget & Cost Control

Monitor procurement expenses and ensure purchases remain within approved budgets.
Identify opportunities for cost savings through effective negotiation and bulk purchasing.
Prepare procurement cost reports and purchase summaries for management.

Documentation & Compliance

Maintain accurate procurement records, purchase orders, quotations, invoices, agreements, and vendor databases.
Ensure procurement activities comply with institutional policies and applicable regulations.
Coordinate with the accounts department for invoice verification and timely vendor payments.

Interdepartmental Coordination

Work closely with academic, administrative, hostel, transport, maintenance, laboratory, and IT departments to understand procurement needs.
Ensure urgent purchases are completed within the required timelines.
Coordinate with senior management for approval of high-value purchases.

Asset & Material Procurement

Procure educational equipment, laboratory instruments, office supplies, furniture, computers, software, electrical items, maintenance materials, housekeeping supplies, transport-related items, and other institutional requirements.
Ensure all procured items meet the required quality standards and specifications.

Required Skills

Strong negotiation and vendor management skills.
Knowledge of procurement procedures and inventory management.
Excellent communication and interpersonal skills.
Strong analytical and problem-solving abilities.
Proficiency in Microsoft Excel, Word, and ERP/Purchase Management Software.
Ability to manage multiple procurement activities simultaneously.
High level of integrity, accountability, and attention to detail.

Educational Qualification

Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, or a related field.
MBA or PG Diploma in Supply Chain Management / Operations Management is preferred for the Purchase Manager role.

Experience

Purchase Executive: 2–4 years of relevant procurement experience.
Purchase Manager: 5–8 years of experience in procurement, vendor management, or supply chain operations.
Experience in educational institutions, hospitals, or large organizations is preferred.
