POSITION OVERVIEW

Rivera Coil Manufacturing India Pvt Ltd is seeking a detail-oriented, organized, and proactive Documentation Executive to manage, maintain, control, and support all company documentation activities across various departments. The incumbent will be responsible for preparing professional documents, maintaining records and reports, supporting ISO/QMS documentation, coordinating with internal departments, and ensuring accurate document control and reporting systems.

The role requires excellent proficiency in MS Word, MS Excel, and PowerPoint, along with strong communication, coordination, and organizational skills. The ideal candidate should be capable of handling confidential documents, preparing reports, maintaining trackers, and supporting management with professional documentation and administrative activities.

EXPERIENCE

0 to 2 years of experience in Documentation, Administration, Office Coordination, Data Management, MIS Reporting,

Freshers with excellent MS Office knowledge and strong communication skills may also apply.

QUALIFICATION

Any Graduate – Preferred
B.Com (Bachelor of Commerce)
BBA (Bachelor of Business Administration)
B.Sc / BA / BCA
MBA
Any other relevant degree with proven proficiency in MS Word, Excel, and PowerPoint.

ELIGIBILITY & REQUIREMENTS

Open to all qualified applicants.

Candidates with experience in manufacturing, engineering, industrial, electrical, or ISO documentation environments will be preferred.

Excellent written and verbal communication skills are required.

Strong knowledge of MS Word, MS Excel, and PowerPoint is mandatory.

Good professional email communication skills are mandatory.

Ability to prepare reports, presentations, trackers, forms, letters, and official documents is essential.

Strong organizational skills, record management ability, and attention to detail are required.

Knowledge of Google Sheets, PDF tools, ERP systems, or document management systems will be an added advantage.

KEY RESPONSIBILITIES

❖ Prepare, format, edit, and maintain company documents, reports, letters, forms, and records.

❖ Maintain proper hard copy and soft copy filing systems for all official documents.

❖ Ensure documents are properly indexed, numbered, and archived according to company procedures.

❖ Update and maintain master document registers and revision records.

❖ Maintain confidentiality and security of company records and documents.

❖ Convert scanned or handwritten information into professional digital documents.

MS Office & Reporting Activities

❖ Prepare professional documents using MS Word with proper formatting and templates.

❖ Create and maintain daily, weekly, and monthly reports using MS Excel.

❖ Prepare PowerPoint presentations for management reviews, customer meetings, audits, and internal presentations.

❖ Maintain trackers for departmental activities, pending actions, and document status.

❖ Generate summaries, charts, tables, and MIS reports for management review.

Department Coordination

❖ Coordinate with HR, Production, Quality, Purchase, Stores, Finance, Marketing, and Management teams for document collection and updates.

❖ Follow up on pending reports, approvals, and document submissions.

❖ Support management in preparing meeting agendas, minutes of meetings (MOM), and action trackers.

❖ Ensure smooth communication between departments regarding documentation requirements.

Administrative & Communication Activities

❖ Draft professional emails, internal memos, notices, circulars, and correspondence.

❖ Maintain accurate records of communications, approvals, and document movement.

❖ Assist in preparing employee records, training records, attendance reports, and departmental documentation when required.

❖ Support office administration and coordination activities as assigned by management.
