Job Summary

We are looking for an experienced and qualified Trainer – Office Operations Executive for its skill development training programs in Guntur, Andhra Pradesh.

The trainer will be responsible for delivering theoretical and practical training in office administration, documentation, communication, data entry, record management, computer applications, coordination, customer handling, and day-to-day office operations.

The training shall be delivered as per the prescribed curriculum, Qualification Pack/NOS, NSQF standards, and applicable skill development guidelines.

Key Responsibilities

Deliver classroom and practical training for the Office Operations Executive job role.
Train candidates in day-to-day office administration and operational activities.

Provide hands-on training in:

MS Word
MS Excel
MS PowerPoint
Email communication
Internet usage
Data entry
File and folder management
Document formatting
Printing and scanning
Digital documentation

Train candidates in preparation and maintenance of:

Letters
Emails
Reports
Registers
Attendance records
Meeting notes
Office correspondence
Data sheets
MIS reports

Explain office filing systems, record keeping, indexing, document storage, and retrieval procedures.

Train candidates in front-office coordination, visitor handling, telephone etiquette, and professional communication.
Provide practical exposure to office coordination activities such as scheduling meetings, maintaining calendars, arranging appointments, and following up on routine tasks.
Train candidates in data accuracy, verification, and maintenance of office records.
Explain basic administrative procedures including inward and outward correspondence, courier handling, and document tracking.
Train candidates in professional workplace etiquette, grooming, discipline, teamwork, and time management.
Provide basic exposure to inventory, stationery, and office asset management.
Train candidates in preparation of routine MIS and management reports.
Explain basic concepts of customer service and internal coordination.
Train candidates on confidentiality, data privacy, and proper handling of official documents.
Conduct practical assignments using office scenarios, sample documents, spreadsheets, emails, and administrative tasks.
Ensure training delivery as per prescribed Qualification Pack (QP), National Occupational Standards (NOS), NSQF curriculum, and training hours.
Prepare lesson plans, session plans, presentations, assignments, practical exercises, and case studies.
Conduct regular assessments, mock tests, role plays, practical evaluations, and revision sessions.
Maintain candidate attendance, assessment records, progress reports, practical logs, and other training documentation.
Identify candidates requiring additional support and provide remedial training.
Prepare candidates for final assessment and certification.
Train candidates in employability skills, interview preparation, workplace communication, and professional conduct.
Coordinate with the Centre Manager, Training Coordinator, Assessors, and Project Team for smooth implementation of the training program.
Support placement activities for candidates in offices, corporate organizations, educational institutions, hospitals, retail establishments, service companies, and other administrative environments.

Qualification

Candidates should preferably possess one of the following qualifications:

B.Com / M.Com
BBA / MBA
B.A. / M.A.
B.Sc / M.Sc
BCA / MCA
Any Graduate / Postgraduate
Diploma in Office Administration / Computer Applications / Business Administration
Any other relevant qualification with experience in office administration or business operations

Experience

Minimum 4 years of relevant industry and/or training experience in office administration, operations, back-office functions, MIS, documentation, or related areas.
Candidates with experience in corporate offices, educational institutions, training centres, service organizations, or administrative departments will be preferred.
Previous experience as an Office Administration Trainer / Office Operations Trainer / Computer Trainer / Employability Skills Trainer will be an added advantage.

Required Skills

Strong knowledge of office administration and day-to-day office operations.
Good working knowledge of MS Office applications.
Strong proficiency in MS Word and MS Excel.
Ability to draft professional emails, letters, and reports.
Knowledge of data entry, documentation, and record management.
Good organizational and coordination skills.
Basic knowledge of MIS reporting.
Good typing and computer skills.
Understanding of professional office communication and business etiquette.
Ability to conduct practical computer-based training sessions.
Strong classroom management and presentation skills.
Ability to explain office processes in a simple and practical manner.
Good verbal and written communication skills.
Ability to communicate effectively in Telugu is essential; working knowledge of English and Hindi will be an added advantage.
