Core Responsibilities:
The Facilities Manager support the following areas: Property and office facilities management, Travel Desk, and Safety and Emergency preparedness for the organization.
Office Management:
- Provides leadership and management of the Office Administration
- Reviews contracts, coordinates with building administration or providers to enable recommendation to the General Manger on own-use or leased property, materials, or equipment utilized by the Company, e.g., corporate offices, sales offices, vehicles. Excluded are properties held for investment purposes (managed by Investment Management).
- Prepares and executes the annual plan for maintenance, improvement, expansion, or disposal of saidproperty.
- Develop and implement procedures to have safe, secure and well-maintained facilities.
- Keeps up to date records of all lost, stolen, and damaged items and report them on monthly basis.
- Assist and coordinates activities for property movement and management of assets for disposal, surplus, storage or salvage, and update in the record
- Prepares workstation in case of people movement or onboarding under the direction of People team and in coordination with relevant functions.
- Ensure well maintained workspace with all hygiene protocols in place.
Procurement and Expense Management:
- Works closely with internal customers to deliver best value, not just lowest cost, balancing needs at a wholistic level and financial resource constraints or priorities in alignment with DBM Vircon’s Brand.
- Assist in the negotiation with and accreditation of vendors, contractors, and suppliers for General Manager approval
- Review purchasing requirements with vendors, summarizes quotations and prepares comparative costing for submission to the requesting Function.
- Prepares purchase orders, requisitions, and expense report as directed
- Compare product deliveries with issued purchase orders and contact vendors when there are discrepancies.
- Maintains vendor record and vendor relations and ensures Company purchases follow strict compliance Safety, Wellness, and Emergency Preparedness
- Liaise with relevant organizations and government institutions to ensure strict regulatory compliance
- Ensure that the organization follow all safety and health regulations in all areas including but not limited to security personnel, and other third-party providers
- Perform regular health check-ins and ensure compliance to health protocols in coordination with People Team.
- Keep abreast of external factors that may affect people and operations to report back to management with recommendation on preparedness and mitigation
- Coordinates with the building administration and other relevant groups to prepare the organization for emergency response and ensure the People team is kept informed.

Work Experience:
- At least 10 years previous experience working in a similar role.
- Tertiary qualifications is desirable.

- An excellent understanding of business protocols and how to conduct communications in various cultural contexts.

- Highly developed interpersonal skills. Ability to establish and maintain effective relationships both internal and external to the organisation, including clients and other key project and industry stakeholders.
- Comprehensive understanding of DBM VIRCON’s Vision and purpose. Ability to translate into group goals and objectives and gain team commitment in achieving those goals and objectives.
- Excellent verbal and written communications skills including the ability to convey information and ideas to individuals and groups and make presentations as necessary.
