Job Title: Front Office Receptionist
Department: Front Office / Customer Service
Location: Salon
Employment Type: Full-Time
Reports To: Salon Manager / Owner

Job Summary

We are looking for a friendly, well-groomed, and customer-focused Front Office Receptionist to be the first point of contact for our salon. The ideal candidate will greet clients warmly, manage appointments, handle billing and payments, coordinate with the salon team, and ensure a smooth and welcoming customer experience.

Key ResponsibilitiesCustomer Service

Welcome clients with a warm and professional attitude.
Assist clients with service enquiries and pricing.
Provide exceptional customer service to ensure client satisfaction.
Handle customer feedback and resolve minor concerns professionally.

Appointment Management

Schedule, reschedule, and confirm appointments.
Maintain an organized appointment calendar.
Coordinate appointments with stylists and beauticians to optimize schedules.
Send appointment reminders to clients.

Front Office Administration

Answer phone calls, WhatsApp messages, and social media enquiries.
Maintain customer records and visit history.
Manage daily walk-ins and waiting lists.
Ensure the reception area is clean, organized, and presentable at all times.

Billing & Cash Handling

Generate invoices and collect payments.
Handle cash, UPI, card, and other digital payment methods.
Maintain daily cash and billing records.
Prepare end-of-day sales reports.

Sales & Customer Engagement

Promote salon services, memberships, packages, and retail products.
Inform customers about ongoing offers and promotions.
Encourage repeat visits through follow-ups and loyalty programs.

Coordination

Coordinate with therapists, beauticians, and hairstylists regarding appointments.
Monitor service flow to minimize customer waiting time.
Support inventory requests by informing management of front-office requirements.

Qualifications

Minimum 12th Pass; Diploma or Degree preferred.
Prior experience in a salon, spa, clinic, hospitality, or customer service role is an advantage.
Freshers with excellent communication skills may also apply.

Skills Required

Excellent communication and interpersonal skills.
Pleasant personality with a professional appearance.
Strong customer service orientation.
Basic computer knowledge (MS Office, Google Sheets).
Familiarity with billing software/POS systems is preferred.
Good organizational and multitasking abilities.
Ability to work under pressure and handle multiple clients simultaneously.

Working Hours

As per salon operating hours, including weekends and public holidays.
Weekly off as per company policy.

Salary

As per experience and company standards.
Performance incentives may be offered based on customer satisfaction and sales targets.
