Job Description (JD) – Procurement Executive

Designation: Procurement Executive
Reporting To: Procurement Manager / Operations Manager / General Manager

Job Summary

The Procurement Executive is responsible for sourcing, purchasing, and coordinating the timely delivery of materials, tools, and services required for office, factory, and project sites. The role ensures cost-effective procurement while maintaining quality standards and project timelines.

Key Responsibilities1. Procurement & Purchasing

Source and procure construction, interior, and office materials.
Obtain and compare quotations from multiple vendors.
Negotiate prices, payment terms, and delivery schedules.
Prepare Purchase Orders (POs) and obtain necessary approvals.
Ensure purchases comply with company procurement policies.

2. Vendor Management

Identify and onboard reliable suppliers and contractors.
Maintain strong relationships with existing vendors.
Evaluate supplier performance based on quality, pricing, and delivery.
Maintain an updated vendor database.

3. Material Planning & Coordination

Coordinate with Site Engineers, Project Coordinators, Factory, Estimation, and Design teams to understand material requirements.
Ensure timely procurement to avoid project delays.
Follow up with suppliers until materials are delivered.

4. Inventory & Stock Monitoring

Monitor stock levels of frequently used materials.
Coordinate with stores to avoid shortages or excess inventory.
Assist in stock verification and inventory audits.

5. Cost Control

Identify cost-saving opportunities without compromising quality.
Compare supplier quotations and recommend the most economical option.
Track procurement expenses against approved budgets.

6. Documentation

Maintain Purchase Orders, quotations, invoices, delivery challans, and GRNs.
Ensure all procurement records are accurate and up to date.
Coordinate with the Accounts Department for invoice verification and payment processing.

7. Logistics Coordination

Coordinate transportation and delivery of materials to project sites.
Track shipments and resolve delivery issues.
Ensure materials are delivered as per project schedules.

8. Reporting

Daily Purchase Status Report.
Vendor Performance Report.
Material Delivery Tracker.
Cost Comparison Report.
Monthly Procurement Report.
Pending Purchase Order Report.

Required Skills

Strong negotiation and vendor management skills.
Knowledge of construction and interior materials.
Good communication and coordination skills.
Analytical and problem-solving abilities.
Time management and multitasking skills.
Attention to detail and documentation accuracy.

Technical Skills

MS Excel, Word, and Outlook.
ERP/Procurement Software (preferred).
Google Workspace.
Basic knowledge of inventory management.

Qualification

Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Civil Engineering, or a related field.
2–5 years of experience in procurement, purchasing, or supply chain, preferably in the construction, interior, or manufacturing industry.
