Executive Assistant – Span Architects

This position is being posted by Lumen Atelier on behalf of Span Architects, Indore.

About Span Architects

Span Architects is an Indore-based architecture and design firm known for delivering thoughtful, design-forward projects across residential, commercial, and institutional sectors. We are looking for a proactive and organized Executive Assistant to support our leadership team and keep studio operations running smoothly.

Role Overview

As an Executive Assistant at Span Architects, you will work closely with the principal architect and senior team members, managing schedules, communications, and administrative workflows. This is a key support role that requires someone who is detail-oriented, discreet, and comfortable working in a fast-paced creative environment.

Key Responsibilities

Manage calendars, appointments, and meeting schedules for senior leadership
Handle correspondence — emails, calls, and follow-ups — professionally and promptly
Prepare reports, presentations, letters, and documents using MS Office tools
Maintain organized filing systems (digital and physical) for projects and office records
Coordinate internal meetings, take minutes, and track action items
Liaise with clients, vendors, and consultants on behalf of the team
Assist with travel arrangements, expense tracking, and basic bookkeeping support
Support day-to-day studio operations as needed

What We're Looking For

Minimum 2 years of experience as an Executive Assistant, Office Administrator, or in a similar role
Proficiency in MS Office Suite — Word, Excel, PowerPoint, and Outlook
Strong written and verbal communication skills in English and Hindi
Excellent organizational and multitasking abilities
Discreet, professional, and able to handle confidential information
Prior experience in an architecture, design, or creative firm is a plus but not mandatory

Qualification

Graduate in any discipline. A degree or diploma in Business Administration or related field is preferred.

Pay: ₹22,000.00 - ₹26,000.00 per month
