Assignment Support Coordinator in Mumbai and become an integral part of our global contractor management team.
In this role, youll be at the heart of the contractor lifecycle, ensuring smooth onboarding, compliance, mobilisation, reporting, and ongoing support for contractors working on projects across the world. - Onboarding & Mobilisation: Oversee contractor pre-mobilisation activities, ensuring all onboarding requirements, documentation, and approvals are completed accurately and on time.
- Global Mobility Support: Assist with contractor relocation and global mobility administration where required.
- Lifecycle Coordination: Track key milestones including contract renewals, visa renewals, training completions, and assignment updates.
- Vendor Coordination: Liaise with third-party providers to arrange medical examinations, training courses, and other mobilisation requirements.
- Contractor Support: Maintain strong communication with contractors throughout their assignments, providing guidance and resolving queries.
- Compliance Monitoring: Stay informed of legislative changes, process updates, and client-specific requirements to ensure compliance.
- Mailbox Management: Manage shared inboxes, prioritising and responding to contractor and stakeholder enquiries efficiently.
- Offboarding Management: Ensure accurate and timely offboarding processes and closure of placements within Bullhorn.
- Issue Resolution: Follow up on compliance or operational issues and work closely with consultants to achieve prompt resolution.
- Reporting & Data Management: Create ad hoc reports, maintain spreadsheets, and support client-specific reporting requirements.
- Audit Support: Contribute to monthly audits by ensuring documentation and compliance records are complete and accurate.
- Quality Assurance: Maintain 100% compliance with internal processes and client requirements.
- Cross-Functional Partnership: Collaborate closely with Commercial, Payroll, Finance, Travel, and Compliance teams to deliver an exceptional contractor experience.
- Regional Support: Provide support to Assignment Support teams across different regions when required.
- Escalation Management: Escalate operational risks, workload concerns, and compliance issues appropriately to Team Leaders and Managers.
- System Support: Identify and report Bullhorn system issues to ensure minimal disruption to operations.
- Visa Coordination: Work with regional PRO teams and external providers to coordinate visa applications and renewals.
- Research & Planning: Monitor changing visa requirements and support mobilisation into new countries and regions.
- Documentation Management: Ensure all visa and immigration documentation is completed accurately and within required timelines.

- Customer-Focused Experience: Previous experience in a customer-facing, contractor support, HR administration, recruitment operations, or coordination role.
- Technology Skills: Strong proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
- Excellent Communication: Strong verbal and written communication skills with a professional and service-oriented approach.
- Organised & Detail-Oriented: Exceptional time management skills with the ability to prioritise multiple activities simultaneously.
- Problem Solver: Proactive, resourceful, and able to identify solutions while maintaining high service standards.
- Compliance Mindset: Comfortable managing confidential information while following structured processes and regulatory requirements.

- Educational Background: Bachelors degree preferred.
