JOB SUMMARY
We are seeking an organized, detail-oriented Banquet Coordinator to join the Banquet Desk at Hotel Le Royal Park. The successful candidate will coordinate and execute all banquet and event operations, ensuring seamless planning, setup, service, and breakdown for weddings, corporate events, conferences, and special functions while delivering exceptional guest experiences.
KEY RESPONSIBILITIES
Event Planning & Coordination:
- Coordinate banquet events from initial inquiry to post-event follow-up
- Liaise with clients to understand event requirements, preferences, and expectations
- Prepare event orders, function sheets, and banquet event orders (BEOs)
- Coordinate with kitchen, service staff, setup crew, and other departments
- Schedule and confirm event details with clients prior to functions
- Conduct pre-event meetings with clients and internal teams
Event Setup & Execution:
- Supervise banquet setup according to event specifications (table arrangements, seating plans, decor, lighting, audio-visual equipment)
- Ensure proper setup of tables, chairs, linens, tableware, and centerpieces
- Coordinate with vendors for decorations, floral arrangements, and special equipment
- Monitor service during events and ensure timely food and beverage delivery
- Address any issues or client requests promptly during events
- Supervise banquet staff during events (servers, bartenders, setup crew)
Post-Event Duties:
- Oversee event breakdown and restoration of banquet spaces
- Conduct post-event inspections with clients
- Process client billing and coordinate with accounting department
- Document event feedback and compile post-event reports
- Follow up with clients for future event bookings
Administrative Tasks:
- Maintain banquet calendar and manage event scheduling
- Respond to client inquiries via phone, email, and in-person
- Prepare quotations and proposals for banquet packages
- Maintain accurate records of all events, contracts, and client communications
- Update banquet database and CRM system
- Coordinate with sales team for lead conversion and upselling
Inventory & Equipment:
- Monitor banquet inventory (linens, china, glassware, silverware, equipment)
- Request maintenance or replacement of damaged items
- Coordinate with engineering for equipment setup and audio-visual needs
- Ensure proper storage and care of banquet supplies
Customer Service:
- Deliver exceptional service to clients and event attendees
- Handle client complaints professionally and resolve issues promptly
- Build strong relationships with regular clients and event planners
- Ensure compliance with hotel service standards and quality expectations
QUALIFICATIONS & REQUIREMENTS
Essential:
- 2–4 years of experience in banquet coordination, event planning, or F&B service
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Physical ability to lift up to 20 kg and stand for extended periods
- Professional appearance and grooming standards
- Fluency in English and Tamil; French is a plus
- Ability to work flexible hours including evenings, weekends, and holidays
- Strong attention to detail and problem-solving skills
Preferred:
- Degree/Diploma in Hospitality Management, Event Management, or related field
- Experience in hotel banquet operations or event planning
- Knowledge of wedding planning and corporate event coordination
- Familiarity with banquet software and event management systems
- Certification in event planning or hospitality management
