Role Overview:
We are seeking a Design and Project Coordinator with a background in Architecture to oversee design alignment, support project workflows, and provide critical operational support across our projects. This role bridges the gap between creative design execution and structured project administration, ensuring seamless coordination between clients, consultants, and internal executive teams.
Candidate Qualifications
- Education: Bachelor’s degree in Architecture (B.Arch) or equivalent architectural qualification.
- Experience: Proven understanding of architectural design phases, project coordination, drawing revisions, and technical documentation.
I. Architectural Design & Project Coordination
The coordinator is responsible for supporting design management and project execution across all project phases, ensuring design integrity, technical accuracy, and clear communication.
Design & Asset Management
- Review, update, and manage architectural drawings, spatial layouts, and design packages.
- Ensure consistency in design intent and aesthetic standards across all project collateral and presentations.
- Organize and maintain design assets, CAD/BIM files, render libraries, and finish schedules.
Project Planning & Milestone Tracking
- Assist in setting up, monitoring, and tracking project schedules, design phases, and construction deliverables.
- Track key project performance metrics (timeline adherence, consultant submittals, design approvals) and compile concise progress reports.
Client & Consultant Liaison
- Act as a central communication link between internal leadership, external consultants (structural, MEP), contractors, and clients.
- Draft, proofread, and format design proposals, technical memos, client updates, and project documentation aligning with the firm's quality standards.
Design Presentations & Proposals
- Draft, format, and compile presentation decks, mood boards, design intent documents, and project proposals for client pitches and stakeholder meetings.
II. Administrative & Operational Support
The coordinator provides essential, day-to-day project and administrative support to ensure efficient office operations and executive time management.
Email & Correspondence Management
- Manage executive and project-specific inboxes by sorting, flagging, and prioritizing critical RFIs (Requests for Information), submittals, and client queries.
- Draft routine technical or operational responses and maintain an organized, searchable folder system for project records.
- Maintain professional written and verbal communication with internal teams, site personnel, and external stakeholders.
Calendar, Scheduling & Site Logistics
- Expertly manage complex executive and project calendars, scheduling design reviews, client presentations, and site visits while resolving scheduling conflicts.
- Coordinate logistical details for site inspections, consultant meetings, and team briefings.
Document Control & CRM Management
- Establish and maintain strict digital file organization, ensuring drawings, specifications, permits, and revisions are properly version-controlled and accessible.
- Maintain and update contact databases and project management platforms/CRMs with active client, vendor, and contractor details.
General Operations & Financial Support
- Review, process, and upload contractor/vendor invoices and purchase orders to the designated software.
- Handle ad hoc operational tasks, research, or special project needs to support leadership and maintain seamless workflow across office and site teams.
Pay: Up to ₹25,000.00 per month
