ROLE OVERVIEW
The Project Coordinator at Vagus Energy will support the coordination and administration of renewable energy projects from initial setup through to completion. This role is suitable for someone who is motivated to learn, organised, detail-focused, and interested in building a career in the renewable energy industry.
The role involves assisting project managers, sales teams, installers, technicians, suppliers, clients, and senior management with project documentation, scheduling support, compliance tracking, CRM updates, grid connection coordination, solar certificate processes, and daily/weekly reporting.The successful candidate will receive training and guidance while gradually developing the skills required to manage project coordination tasks independently.
SKILLS AND EXPERIENCE
Essential
- Bachelor of Engineering, preferably Electrical.
- Good written and verbal communication skills.
- Basic time management and coordination skills.
- Good attention to detail and willingness to learn.
- Ability to use MS Excel, SharePoint, CRM systems, and project trackers.
- Own laptop, mobile phone, and remote work setup.
- Willingness to maintain reasonable flexibility in working hours to align with Australian team schedules, client needs, and project timelines when required.
Desirable
- Interest in solar, renewable energy, or electrical projects.
- Basic knowledge of grid connection or project documentation.
- Understanding of STCs, LGCs, or Solar Victoria requirements would be an advantage.
- Basic understanding of project costing, invoicing, or purchase orders is preferred but not essential.

KEY RESPONSIBILITIES
1. Project Administration and Coordination
- Provide administrative support to the Project Management and Sales Teams.
- Assist in setting up and maintaining project records in company systems.
- Coordinate project-related tasks with internal and external stakeholders.
- Maintain records in line with company procedures.
- Complete other project duties as directed by management.
2. Scheduling, Labour, and Materials
- Assist in planning labour and material requirements for projects.
- Support scheduling of technicians and installers onto client jobs.
- Coordinate with installers, suppliers, clients, and sales team members.
- Track project progress, delays, and pending action items.
- Support efficient use of labour and project resources.
3. Financial Setup and Project Tracking
- Assist in maintaining the financial setup of projects.
- Track customer deposits, invoices, purchase orders, and project costs.
- Coordinate with accounts and project teams on payment-related updates.
- Follow up on missing financial information where required.
- Provide project status and cost updates to management.
4. Compliance, Grid Connection, and Certificates
- Assist in monitoring technician licences and vendor certifications.
- Support the company’s quality, health, and safety requirements.
- Assist with grid connection applications with network authorities.
- Support the registration and creation of STCs and LGCs.
- Track required Solar Victoria and compliance documents.
5. Documentation, CRM, and Reporting
- Assist in preparing owner’s manual and project handover documentation.
- Support solar operations and maintenance documentation.
- Assist with proposal and marketing documentation when required.
- Maintain databases, CRM, SharePoint folders, and project trackers.
- Provide daily and weekly reports to management.
