Overview
We are seeking a professional and organized Remote Front Desk Agent (Operator) to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations at our Canada immigration office. The ideal candidate will possess excellent phone etiquette, strong clerical skills, proficiency with Microsoft Office software, and excellent communication skills, including fluency in English, Hindi, and Punjabi, to support both clients and staff effectively. The Candidate will work remotely from their home as per Vancouver (Pacific Time) in Canada. The Candidate will be working overnight shifts (in India) from Monday to Friday.
Dutie
- Manage multi-line phone systems, receiving, handling and directing calls efficiently and courteously
- Booking appointments, taking payments, creating invoices and communicating between the team and clients
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized electronic filing systems
- Schedule consultations, coordinate meetings, and manage consultants' calendars
- Assist with administrative support, including proofreading documents, preparing correspondence, managing paperwork, drafting retainers, initial consultation agreements, and service agreements.
- Perform basic bookkeeping and bookkeeping-related tasks using QuickBooks or similar software
- Support customer service efforts by addressing inquiries and providing information with excellent phone etiquette
- Support other clerical duties such as faxing, emailing
- Understand basic Canada immigration-related terminology and communicate with clients efficiently over the phone.
Requirements
- Proven experience in office administration, clerical work, or front desk roles; Immigration, law and consultant office experience is a plus
- Strong computer skills, including proficiency with Microsoft Office (Word, Excel), Google Workspace, and data entry tools
- Experience with multi-line phone systems and customer service environments
- Knowledge of QuickBooks or bookkeeping experience preferred
- Excellent organizational skills with attention to detail and accuracy in proofreading and typing
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Strong communication skills with professional phone etiquette
- Prior experience in medical or dental offices is advantageous but not required
- Diploma or equivalent; additional administrative training is a plus
