Role Overview:
The Senior Executive – Admin and Operations will oversee the daily, seamless functionality of building infrastructure, academic block operations, accommodation facilities and essential support services. This role acts as a critical bridge between faculty, students, guests and the management team, ensuring high standards of facilities maintenance, logistical efficiency, hospitality, and administrative compliance across the campus.
Key Responsibilities:
1. Infrastructure & Facilities Management

Campus & Building Operations: Monitor and maintain designated campus buildings.

Partner with the core infrastructure team to proactively address structural/operational issues and minimize disruptions.

Academic Space Upkeep: Oversee classrooms, seminar halls, and common areas, ensuring optimal cleanliness, climate control (AC), appropriate furniture layouts, and timely repairs.

Hygiene & Housekeeping Assurance: Direct and coordinate with the Housekeeping

Supervisor/Incharge to conduct routine quality checks, emphasizing strict hygiene standards in washrooms and adequate inventory of sanitary supplies.

Daily Tech & Utility Checks: Supervise day-to-day workspace amenities including stable Wi-Fi connectivity, printer cartridge replacements, projector functionality, and active remote batteries.

Staff Deployment: Coordinate and monitor housekeeping staff distribution across the designated academic block to guarantee maximum operational efficiency.
2. Accommodation & Guest Relations

Facility Coordination: Act as the in charge for guest houses and staff quarters, ensuring units are fully equipped as per company standard and basic utilities.

Check-In/Check-Out Management: Oversee allocation, key handovers, logbook entries and physical tracking files for amenities assigned to employees and guests.

Quality & Laundry Oversight: Inspect accommodation units regularly for immaculate cleanliness. Direct dedicated hospitality housekeeping and handle the coordination of laundry services.

Financial & Resource Administration: Manage accommodation utility billing, ensuring accurate collection of electricity payments from occupants and timely submission to property owners.

Occupant Support: Act as the central point of contact for resolving guest and staff housing grievances or inquiries.
3. Resource & Inventory Management

Asset Tracking: Maintain comprehensive tracking registers for seminar hall usage and fixedassets within those zones.

Stationery & Consumables control: Forecast, source and log inventory metrics (inflow/outflow)for stationery supplies specifically for assigned blocks.

Academic & Medical Support: Facilitate and process high-volume printing requests from faculty members. Regularly audit and replenish campus First Aid kits.
4. Logistics, Support & Event Services

Inter-Block Logistics: Schedule and coordinate transit services between academic blocks for students and personnel.

Financial Support Liaison: Assist fee collection staff with collecting and processing student semester and bus fees incase if required.

Event Coordination: Provide end-to-end support for academic events and seminars, managing guest reception, audio-visual readiness, and hospitality/refreshment layouts.

Senior Management Support: Coordinate and track specialized requests for senior leadership.
5. Communication & Emergency Response

Query Resolution: Serve as a responsive administrative contact for issues raised by students,faculty and campus visitors.

Notice & Compliance Tracking: Build and manage digital (Google Sheets) and physical filing systems for administrative notices, including tracking mandatory faculty acknowledgments.

Attendance Reporting: Compile and submit daily faculty attendance and activity trackers incase required.

Student Crisis Support: Act as an immediate responder to student health emergencies—administering basic first aid, coordinating medical transport, and accompanying students to care facilities when required.
Qualifications & Skills Required:

Education: Bachelor’s degree.

Experience: 3 to 5 years of experience in administrative operations, facilities management or corporate/academic hospitality.

Technical Skills: Proficiency in Google Workspace (Docs, Sheets), MS Office.

Soft Skills: Strong interpersonal and problem-solving skills, customer-centric mindset and the ability to maintain composure under high-pressure emergency situations.
