Telecaller & Front Office Receptionist

Lefort Implant Academy – Chengalpattu, Tamil Nadu

About Lefort Implant Academy

Lefort Implant Academy is a specialized dental implantology training centre focused on providing practical, structured and clinically oriented implantology education for dentists.

We are looking for a Telecaller & Front Office Receptionist who can communicate professionally with dentists, patients, course enquiries and visitors, while efficiently managing telephone enquiries, WhatsApp communication, lead follow-up, reception and basic administrative responsibilities.

The ideal candidate should be confident, polite, target-oriented, organized and comfortable speaking with people over the telephone and in person.

Key Responsibilities1. Telecalling & Lead Management

Handle incoming and outgoing telephone calls professionally.
Contact prospective students and enquiries generated through advertisements, social media, website, WhatsApp and other sources.
Explain Lefort Implant Academy courses, training programs, schedules, fees and admission procedures clearly.
Follow up regularly with prospective candidates.
Maintain proper records of all enquiries and follow-up activities.
Identify serious/interested candidates and convert enquiries into admissions.
Ensure that no genuine enquiry is left unattended.
Make follow-up calls according to the assigned follow-up schedule.
Maintain accurate lead status such as:
New enquiry
Contacted
Interested
Follow-up required
Admission confirmed
Not interested
Future enquiry

2. Reception & Front Office Management

Welcome students, dentists, patients, faculty members and visitors professionally.
Manage the reception desk efficiently.
Attend telephone calls and direct them to the appropriate person.
Handle basic visitor coordination and appointment scheduling.
Maintain a professional and welcoming front-office environment.
Coordinate with doctors, faculty, management and administrative staff when required.

3. Student Enquiry & Admission Coordination

Provide accurate information about courses and batches.
Coordinate registration and admission enquiries.
Collect required basic candidate information.
Assist candidates with registration procedures.
Coordinate payment-related information with the accounts/management team.
Send course details, brochures, schedules and other approved information through WhatsApp/email.
Follow up with registered candidates regarding course dates, attendance and other requirements.

4. WhatsApp & Digital Communication

Respond promptly and professionally to WhatsApp enquiries.
Send approved course information, brochures, fee details and schedules.
Maintain organized communication with prospective students.
Follow up with candidates who have shown interest through WhatsApp.
Assist in responding to enquiries received through social media and online platforms.
Escalate technical, clinical or fee-related questions to the appropriate senior person rather than providing incorrect information.

5. Database & Documentation

Maintain daily enquiry and admission records.
Update lead information regularly.
Maintain student contact details accurately.
Maintain follow-up records.
Prepare simple daily/weekly reports regarding:
Number of calls made
New enquiries
Follow-ups completed
Interested candidates
Admissions generated
Pending follow-ups
Ensure confidentiality of student, patient and organizational information.

6. Administrative Support

Assist management with routine front-office and administrative activities.
Coordinate communication between students and faculty.
Assist in preparing course-related communication.
Maintain basic office records and documents.
Support seminars, workshops, implant courses and academic events when required.
Assist with registration and reception during training programs and events.

Accountability

The selected candidate will be directly accountable for:

Prompt response to every genuine enquiry.
Proper and timely follow-up of prospective students.
Accurate maintenance of enquiry and admission records.
Professional handling of telephone and WhatsApp communication.
Maintaining a professional front-office experience.
Supporting conversion of enquiries into confirmed admissions.
Ensuring that scheduled follow-ups are completed without unnecessary delay.
Providing only accurate and management-approved information.
Maintaining confidentiality of candidate, patient and organizational information.
Submitting assigned daily/weekly reports on time.

Language RequirementsEssential

Tamil – Fluent
English – Good communication skills

Preferred / Advantage

Hindi – Good communication skills

Candidates who can communicate comfortably in Tamil, English and Hindi will be given preference because the academy may receive enquiries from candidates from different parts of India.

Educational Qualification

Minimum: Higher Secondary / Plus Two

Sales and admission counselling

Freshers with excellent communication skills may also apply.

Experience

Freshers may apply.
1–3 years of experience in telecalling, reception, customer service, healthcare or education administration will be an advantage.
Experience in dental clinics, hospitals, medical institutions or educational institutes is preferred.

5 hours per day
