The Executive Assistant to the Managing Director is responsible for providing high-level administrative, operational, and strategic support to the MD. The role requires exceptional organizational skills, strong follow-up abilities, recruitment knowledge, project coordination expertise, and the capability to ensure timely execution of key business initiatives. The EA acts as a bridge between the MD and various departments to ensure smooth communication and achievement of organizational goals.
Key ResponsibilitiesExecutive & Administrative Support
- Manage and maintain the Managing Director's calendar, appointments, meetings, travel plans, and business commitments.
- Organize meetings, prepare agendas, take meeting minutes, and ensure action points are completed.
- Prepare presentations, reports, business summaries, and correspondence for the MD.
- Handle confidential information with utmost discretion and professionalism.
Project & Business Coordination
- Track and monitor all projects assigned by the MD and ensure timely completion.
- Coordinate with department heads and teams to follow up on deliverables and deadlines.
- Maintain project trackers and provide regular status updates to the MD.
- Ensure strategic initiatives and management decisions are implemented effectively.
- Identify bottlenecks and proactively drive resolutions.
Recruitment & HR Coordination
- Manage end-to-end recruitment activities including sourcing, screening, interview coordination, and offer follow-up.
- Coordinate with department heads to understand manpower requirements.
- Maintain recruitment reports and ensure positions are filled within timelines.
- Support onboarding and induction activities for new employees.
Follow-Up & Execution
- Ensure all tasks assigned by the MD are completed within agreed timelines.
- Drive accountability across departments through regular follow-ups.
- Coordinate cross-functional activities and ensure smooth execution of business priorities.
- Handle special projects and assignments directly delegated by the MD.
Reporting & Documentation
- Prepare MIS reports, dashboards, presentations, and business analysis reports.
- Maintain records of important documents, agreements, and communications.
- Generate weekly and monthly progress reports for management review.

Preferred Industry Experience
- Must have prior experience in Retail, Fashion, Apparel, Lifestyle, Luxury Retail, or Consumer-Facing Industries.
- Understanding of retail operations, store management, sales performance tracking, manpower planning, and customer-centric business environments will be highly preferred.
- Experience working with founders, directors, or senior leadership in a retail organization is an added advantage.
Qualifications
- Bachelor's Degree in Business Administration, Human Resources, Management, or a related field.
- 3–8 years of experience as an Executive Assistant, Management Coordinator, HR Executive, Project Coordinator, or similar role.
- Experience in recruitment and business coordination is mandatory.
