Role Summary

We are looking for a dependable and organised Admin Manager to own the smooth day-to-day running of our office operations. You will be the central point for administration, facility management, vendor coordination, and internal support functions, ensuring that our teams have everything they need to perform at their best. This role suits someone who is proactive, detail-oriented, and comfortable managing multiple priorities across a fast-growing organisation.

Key Responsibilities

Oversee daily office administration and ensure smooth functioning of all facilities across the location.
Manage vendor relationships including procurement of office supplies, equipment, and services, and negotiate contracts for cost efficiency.
Supervise housekeeping, security, pantry, and maintenance staff, and ensure a clean, safe, and productive work environment.
Coordinate travel bookings, accommodation, and logistics for employees and management.
Maintain accurate records of assets, inventory, AMC contracts, and administrative expenses.
Support HR with onboarding logistics, workspace allocation, ID cards, and employee engagement events.
Handle statutory and compliance-related administrative tasks, including coordination with local authorities, licenses, and renewals.
Manage petty cash, administrative budgets, and monthly expense reporting in coordination with the accounts team.
Oversee upkeep of office infrastructure, IT hardware coordination, and utilities (electricity, internet, water, etc.).
Support inter-office coordination across Bangalore, Thanjavur, and Ahmedabad locations.
Draft internal circulars, notices, and administrative correspondence.
Ensure adherence to company policies and maintain confidentiality of sensitive information.

Requirements

Bachelor's degree in any discipline; a degree in Business Administration or related field is preferred.
4–8 years of experience in office administration, facility management, or a similar role.
Strong organisational, multitasking, and problem-solving skills.
Good working knowledge of MS Office (Word, Excel, Outlook) and Google Workspace.
Excellent communication skills in English and Tamil.
Ability to manage vendors, budgets, and teams independently.
Attention to detail with a proactive, ownership-driven mindset.
Prior experience in a growing company or agency environment is an advantage.
