Full job description

Key Responsibilities

Quality Documentation Management

Prepare, review, update, and maintain quality documents and records.
Control the issuance, revision, distribution, and archiving of documents.
Maintain document registers and revision history records.
Ensure obsolete documents are removed from points of use.

Production & Inspection Records

Maintain production quality records, inspection reports, and test certificates.
Verify completeness and accuracy of inspection documentation.
Ensure traceability of raw materials, components, and finished products.
Maintain calibration records for measuring instruments.

Customer Documentation

Prepare customer quality dossiers and submission packages.
Compile inspection reports, material test certificates (MTCs), dimensional reports, and compliance certificates.
Coordinate documentation requirements for customer audits and approvals.

ISO & Quality System Compliance

Support implementation and maintenance of ISO 9001 Quality Management System.
Maintain standard operating procedures (SOPs), work instructions, formats, and quality manuals.
Assist during internal and external audits.
Track corrective actions and maintain audit records.

Data Management & Reporting

Maintain digital and hard-copy quality records.
Generate quality documentation reports as required.
Prepare monthly quality documentation status reports.
Ensure proper filing and retrieval of records.

Coordination

Coordinate with Production, Quality Inspection, Stores, Planning, and Dispatch departments.
Follow up on missing records and documentation gaps.
Support quality engineers in documentation-related activities.

Required Qualifications

Education

Diploma / Bachelor's Degree in Mechanical Engineering, Production Engineering, Industrial Engineering, or related field.

Experience

1–5 years of experience in quality documentation, QA/QC, or document control in a machine shop or manufacturing environment.

Technical Skills

Knowledge of machine shop processes and engineering drawings.
Understanding of ISO 9001 documentation requirements.
Knowledge of inspection reports, calibration records, and quality systems.
Proficiency in Microsoft Excel, Word, and document management systems.
Ability to maintain document traceability and revision control.

Ability to work independently and maintain confidentiality.

Key Performance Indicators (KPIs)

Documentation accuracy rate.
On-time document submission percentage.
Audit compliance score.

Number of documentation non-conformities.
Customer documentation completion rate.
Calibration and quality record maintenance compliance.
