Job Description – Dispatch Executive

Job Summary

We are looking for a Dispatch Executive responsible for coordinating and managing the day-to-day dispatch operations, ensuring that finished goods are accurately packed, documented, and delivered to customers/distributors on time. The role involves coordination with Sales, Stores, Production, Accounts, Transporters, and Customers.

Key Responsibilities

Plan and coordinate daily dispatches as per customer orders and delivery schedules.
Verify dispatch instructions, invoices, delivery challans, and other required documents.
Coordinate with the Store/Warehouse team for material picking, packing, and loading.
Ensure correct product, quantity, batch/lot, and customer details before dispatch.
Prepare and maintain dispatch-related documents and records.
Coordinate with transporters, courier agencies, and logistics partners for timely vehicle placement.
Track dispatched shipments and update delivery status.
Follow up with transporters for pending, delayed, or undelivered shipments.
Ensure proper packing and safe handling of finished goods to avoid transit damage.
Coordinate with Accounts for invoice-related issues and required dispatch documentation.
Coordinate with Sales/Customer Service regarding urgent, partial, or priority dispatches.
Maintain daily Dispatch Register.
Monitor pending dispatches and ensure timely closure.
Handle customer/transport-related queries regarding shipment status.
Maintain records of LR/GR numbers, vehicle details, transporter details, and delivery status.
Assist in preparing dispatch reports and reconciliation of dispatched vs. pending materials.
Ensure compliance with company procedures related to dispatch and logistics.
Support stock accuracy by ensuring that physical dispatches match system/document quantities.
Perform other duties assigned by the reporting manager.

Required Skills & Qualifications

Graduate in any discipline; Diploma/qualification in Logistics or Supply Chain is an advantage.
1–4 years of experience in Dispatch, Logistics, Warehouse, or Stores operations.
Experience in a manufacturing company, preferably electrical/electronics or similar industry.
Good knowledge of dispatch documentation and logistics processes.
Working knowledge of MS Excel and ERP systems.
Good communication and coordination skills.
Ability to manage multiple dispatches and meet deadlines.
Good attention to detail and accuracy.

Pay: ₹20,000.00 - ₹28,000.00 per month

Work Location: In person
