Full job description

GURUJEE Institute of Science is looking for an experienced and dynamic Academic Coordinator to oversee and streamline our day-to-day academic operations and ensure the smooth coordination between Students, Parents and Faculty Members.

Candidate Profile

Minimum 10 years of experience in academic operations, school/coaching institute administration, or academic coordination.
Strong academic background in Physics / Chemistry / Mathematics / Biology or a related subject.
Experience in handling students, parents and teaching faculty.
Excellent communication, coordination, counselling and problem-solving skills.
Should be organized, responsible, proactive and capable of handling multiple academic activities simultaneously.
Prior experience in a NEET/JEE/CBSE/School/Coaching Institute will be an added advantage.
Male / Female candidates preferred.

Key Responsibilities

Academic Planning & Operations

Prepare and coordinate weekly and monthly class schedules.
Ensure smooth and timely conduct of all classes, tests, assessments and special sessions.
Coordinate faculty availability, substitutions and timetable adjustments.
Monitor faculty attendance, student attendance and class completion.
Ensure planned portions and academic targets are completed as per schedule.
Coordinate test schedules, question paper preparation, conduct of examinations and timely evaluation.
Monitor test results, student performance and academic progress.
Maintain academic calendars, lesson plans, schedules and other academic records.
Follow up with faculty members regarding syllabus completion and pending academic activities.
Ensure proper implementation of the institute's academic procedures and standards.

Student & Parent Coordination

Act as the primary academic point of contact for parents and students.
Address and resolve student and parent grievances professionally and within the required timeline.
Conduct parent counselling and academic discussions whenever required.
Regularly communicate student attendance, performance, discipline and academic progress to parents.
Identify students who require additional academic support and coordinate appropriate intervention.
Maintain regular follow-up with students regarding attendance, tests, assignments and academic performance.

Faculty Coordination

Coordinate effectively with all teaching faculty members.
Conduct regular academic follow-ups with faculties.
Ensure faculty members follow the prescribed academic plans, schedules and teaching methodologies.
Coordinate faculty meetings and academic review meetings.
Track pending portions, revision schedules, tests and remedial sessions.
Support faculty members in resolving student-related academic issues.

Academic Quality & Administration

Monitor the overall quality and smooth functioning of academic activities.
Ensure classrooms are ready and academic resources are available before sessions.
Coordinate study materials, worksheets, assignments, tests and other academic resources.
Maintain proper documentation of academic activities and student records.
Prepare regular academic operation reports for management.
Monitor student discipline and classroom-related issues.
Coordinate special classes, revision sessions, doubt-clearing sessions and parent meetings.
Support management in implementing new academic initiatives and improving operational efficiency.
Take proactive steps to ensure minimum disruption and maximum utilization of teaching hours.

11:00 AM – 7:30 PM
