Department: Management / Administration
Location: Jaipur, Rajasthan
Employment Type: Full-Time
Reporting To: Managing Director (MD)

Job Summary

We are seeking a highly organized, proactive, and professional Personal Assistant to support the Managing Director in day-to-day business operations. The ideal candidate should possess excellent communication, coordination, and time management skills while maintaining the highest level of confidentiality.

Key Responsibilities

Manage the MD's daily calendar, appointments, meetings, and travel schedules.
Coordinate internal and external meetings, prepare agendas, and record Minutes of Meeting (MOM).
Screen phone calls, emails, and correspondence on behalf of the MD.
Draft professional emails, letters, reports, presentations, and other business documents.
Coordinate with department heads and ensure timely follow-up on assigned tasks.
Monitor deadlines, track action items, and provide regular updates to the MD.
Arrange domestic travel, hotel bookings, and event logistics.
Handle confidential documents and sensitive information with complete discretion.
Maintain records, files, and management reports in an organized manner.
Assist in preparing presentations, MIS reports, and management dashboards.
Coordinate with vendors, clients, business associates, and external stakeholders.
Organize board meetings, management meetings, and special events as required.
Perform other administrative and executive support duties assigned by the MD.

Required Qualifications

Bachelor's Degree in Business Administration, Commerce, Management, or any relevant discipline.
MBA will be an added advantage.

Experience

3–4 years of experience as a Personal Assistant, Executive Assistant, or Secretary to senior management.
Experience working directly with Directors/Managing Directors is preferred.

Required Skills

Excellent verbal and written communication in English and Hindi.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent drafting and documentation skills.
Strong follow-up and coordination capabilities.
Professional etiquette and interpersonal skills.
Ability to work under pressure and meet deadlines.
High level of integrity and confidentiality.
Smart, presentable, and professional personality.

Preferred Skills

Experience in handling corporate events and meetings.
Knowledge of travel management and itinerary planning.
Ability to prepare presentations and MIS reports.
Familiarity with ERP/CRM software is an advantage.
