Reporting To: HR / Admin Manager
Employment Type: Full-time

Role Overview

We are looking for a well-organised, proactive, and presentable Admin & Front Desk Executive to manage front-desk operations and provide day-to-day administrative support. The role will be responsible for creating a professional first point of contact for visitors and employees while ensuring smooth office administration and coordination.

Key Responsibilities1. Front Desk & Reception

Manage the reception area and ensure it is maintained in a professional and welcoming manner.
Greet and assist visitors, clients, candidates, and vendors.
Handle incoming calls, messages, and general enquiries and direct them to the appropriate person.
Maintain visitor records and coordinate visitor access with the relevant teams.
Receive and manage courier, parcels, and incoming documents.
Coordinate outgoing couriers and maintain courier records.
Assist candidates and visitors during interviews, meetings, and appointments.

2. Office Administration

Manage day-to-day administrative activities and ensure smooth functioning of the office.
Coordinate office supplies, stationery, pantry requirements, and other administrative needs.
Maintain records of office assets, supplies, and consumables.
Monitor stock levels and raise purchase requirements when needed.
Coordinate with housekeeping, security, maintenance, pest control, and other service providers.
Follow up with vendors and service providers for routine office requirements.
Maintain administrative bills, invoices, quotations, and supporting documents.
Assist with office maintenance and ensure issues are reported and resolved on time.

3. Employee Support

Support employees with routine administrative requirements.
Coordinate meeting rooms, internal meetings, and office arrangements.
Assist HR with employee documentation, joining formalities, and other administrative activities when required.
Support employee engagement activities, celebrations, and office events.
Maintain confidentiality of employee and company information.

4. Coordination & Record Keeping

Maintain proper records of visitors, couriers, vendors, office supplies, and administrative expenses.
Prepare basic administrative reports and trackers.
Coordinate with HR, Accounts, IT, and other departments for administrative requirements.
Ensure timely follow-up and closure of pending administrative tasks.
Maintain proper filing and documentation of administrative records.

5. General Responsibilities

Ensure the reception and common areas are clean, organised, and presentable.
Identify administrative gaps and proactively suggest improvements.
Support management and HR with ad-hoc administrative requirements.
Ensure company policies and administrative procedures are followed.
Handle sensitive information with discretion and professionalism.

Basic knowledge of MS Office / Google Workspace.

Experience & Qualification

Graduate in any discipline.
2–5 years of experience in administration, front desk, reception, office coordination, or a similar role.
Experience in a manufacturing, corporate, hospitality, or service environment will be an advantage.

Timely closure of administrative requirements.
Availability of office supplies and essential services.
Accurate maintenance of administrative records and trackers.
Timely coordination with vendors and service providers.
Professional handling of visitors, calls, and employee requests.
Overall cleanliness, organisation, and upkeep of the office.

Pay: ₹22,000.00 - ₹30,000.00 per month
