Admin Executive

Company: International Institute of Fashion Technology (IIFT)
Location: Bhopal, Madhya Pradesh (On-site)
Working Hours: 10:00 AM – 6:30 PM

About the Role

International Institute of Fashion Technology (IIFT), Bhopal is looking for a proactive, organized, and detail-oriented Admin Executive to oversee the institute's day-to-day administrative operations. This role involves office administration, vendor coordination, infrastructure management, event support, and ensuring the smooth functioning of the institute's facilities and administrative processes.

Key Responsibilities

Manage the day-to-day administrative operations of the institute.
Coordinate with students, faculty members, vendors, and management to ensure smooth administrative functioning.
Maintain office records, files, inventory, and administrative documentation.
Coordinate with external vendors for infrastructure-related work, maintenance, repairs, and other operational requirements.
Liaise with electricians, plumbers, technicians, housekeeping staff, and other service providers to ensure timely completion of maintenance work.
Identify, contact, compare, negotiate, and coordinate with vendors for institute requirements while ensuring quality and cost-effectiveness.
Obtain quotations, follow up with vendors, and coordinate the approval process for procurement and service requirements.
Monitor office supplies, equipment, and infrastructure, and coordinate repairs or replacements when necessary.
Assist in planning and executing institute events by identifying suitable venues, coordinating with venue providers, negotiating commercial terms, and managing event logistics.
Handle official phone calls, vendor communication, follow-ups, scheduling, and administrative correspondence.
Coordinate procurement of office supplies, furniture, equipment, and other administrative requirements.
Ensure institute facilities are well-maintained and operational at all times.
Provide administrative support to various departments and assist in other operational activities as assigned by the management.

Required Skills

Strong communication and interpersonal skills.
Excellent organizational and time management abilities.
Ability to negotiate and coordinate effectively with vendors and service providers.
Strong problem-solving and multitasking skills.
Basic proficiency in Microsoft Office (Word, Excel, and Outlook).
Attention to detail and a professional approach to work.
Ability to work independently while managing multiple priorities.

Qualifications

Bachelor's degree in any discipline.
0–3 years of experience in administration, office management, facilities management, vendor coordination, or a similar role is preferred.
Experience in the education sector will be an added advantage.
