About the Job

We are an established Kolkata-based real estate group with approximately 30 years of experience across real estate development, land holdings, property investments and related businesses.

As the company enters its next phase of growth across acquisitions, investments, partnerships and new business opportunities, we are looking for a highly capable and dependable Executive Assistant to the CEO.

This is a high-trust position working directly with the CEO. The role combines executive assistance, relationship management, communication, coordination, company representation and special projects.

The successful candidate should be highly organized, proactive, discreet, socially confident and capable of independently managing multiple priorities in a dynamic business environment.

Key Responsibilities

Manage the CEO’s calendar, appointments, meetings, reminders and daily/weekly priorities.
Coordinate meetings with business partners, consultants, bankers, lawyers, brokers, investors, vendors and other stakeholders.
Prepare meeting briefs, background information, documents, agendas and reminders for the CEO.
Record key meeting discussions, decisions and action items and ensure timely follow-up.
Act as a central point of coordination between the CEO, internal teams and external stakeholders.
Maintain an organized database of important professional and personal contacts.
Track birthdays, anniversaries, festivals, milestones and other important occasions and coordinate appropriate greetings, gifts and invitations.
Maintain and follow up on important professional relationships on behalf of the CEO.
Coordinate introductions and meetings with prospective business relationships and organizations.
Draft and coordinate emails, WhatsApp messages, letters, invitations and other correspondence on behalf of the CEO.
Screen and prioritize incoming communications and ensure important matters receive timely attention.
Prepare presentations, briefing documents, meeting agendas, trackers and other executive materials.
Coordinate domestic and international travel, including flights, hotels, transportation, itineraries and meeting schedules.
Organize business dinners, events, conferences, social engagements, invitations and RSVPs.
Coordinate hospitality and gifts for important guests and business relationships.
Conduct basic research on companies, individuals, properties, markets and potential business opportunities.
Maintain trackers for important projects, discussions, introductions, commitments and pending tasks.
Support the CEO on new acquisitions, investments, partnerships and other strategic initiatives.
Coordinate with professional advisors, consultants, vendors and counterparties as required.
Gradually represent the CEO’s office in selected meetings, events and external interactions as familiarity and trust develop.
Take ownership of special projects and assignments that may extend beyond conventional administrative responsibilities.

Candidate Requirements

3–4 years of relevant experience as an Executive Assistant, Personal Assistant, Executive Coordinator, CEO’s Office professional or in a similar role is preferred.
Bachelor’s degree from a recognized university.
Strong written and verbal communication skills in English and Hindi.
Excellent organizational, coordination and follow-up abilities.
Strong working knowledge of Microsoft Office / Google Workspace, calendars, email, presentations, spreadsheets, WhatsApp and digital productivity tools.
Ability to communicate confidently and professionally with senior executives, business owners and external stakeholders.
Ability to handle multiple unrelated priorities while maintaining attention to detail.
High level of integrity, discretion, judgment and confidentiality.
Presentable, polished and professional in external interactions.
Proactive, resourceful and capable of solving problems independently.

Preferred Experience

Candidates with prior experience working with senior management, promoters, founders, business families, real estate companies, investment firms or professional services organizations will be preferred.

About the Role

This is not a conventional fixed-duty administrative position. The Executive Assistant will be expected to adapt to the changing requirements of the CEO’s office.

Responsibilities may range from managing meetings and correspondence to coordinating a last-minute business trip, arranging an important dinner, researching a potential business relationship, following up on a transaction, coordinating gifts for key contacts or attending selected meetings and events.

As familiarity and trust develop, the individual will be expected to become a reliable second point of contact for the CEO’s office and take ownership of selected responsibilities independently.

Growth Opportunity

This position is intended to grow alongside the CEO’s office. For the right individual, the role can develop beyond traditional executive assistance into broader responsibilities across CEO’s Office operations, relationship management, business development, special projects and company representation.

We are looking for someone interested in building a long-term working relationship with the CEO and becoming a trusted member of the company’s leadership support structure.
