Overall Company Operations

Position: Assistant Manager – Operations
Department: Operations & Administration
Reporting To: Managing Director
Location: Fortune Spaces / Company Branches
Employment Type: Full-Time

Job Purpose

The Assistant Manager will be responsible for supporting and coordinating the overall day-to-day operations of the company, ensuring smooth functioning of all departments, branches, employees, clients, facilities, and business activities. The role requires strong coordination, administration, customer handling, team supervision, and problem-solving skills.

Key Responsibilities

1. Overall Operations

Assist the management in managing the day-to-day operations of the company.
Coordinate activities between different departments and branches.
Ensure that company policies, procedures, and operational standards are properly followed.
Monitor daily operations and report important issues to management.
Identify operational problems and recommend practical solutions.

2. Staff & Team Management

Supervise and coordinate employees across different departments.
Monitor attendance, punctuality, work allocation, and employee performance.
Allocate daily tasks and follow up on completion.
Support recruitment, onboarding, training, and performance monitoring.
Maintain discipline and professional conduct among employees.

3. Customer & Client Management

Handle customer enquiries, complaints, and service-related issues.
Ensure that clients receive proper support and services.
Maintain good relationships with existing and prospective customers.
Follow up on leads, enquiries, renewals, payments, and pending requirements.

4. Branch Management

Coordinate the functioning of all company branches.
Ensure that offices, coworking spaces, cabins, meeting rooms, and common areas are properly maintained.
Monitor security, housekeeping, internet, electricity, equipment, parking, and other facilities.
Conduct regular operational inspections and report deficiencies.

5. Sales & Business Development Support

Assist the sales and business development team in achieving targets.
Monitor leads and follow-ups.
Support marketing campaigns, promotions, and customer acquisition activities.
Prepare daily/weekly/monthly operational and sales reports as required.

6. Finance & Administrative Coordination

Coordinate with the accounts team regarding invoices, collections, expenses, and outstanding payments.
Monitor operational expenses and seek management approval where required.
Maintain proper records of agreements, invoices, customer documents, employee records, and other operational documents.
Assist management with administrative and statutory requirements.

7. Vendor & Service Provider Management

Coordinate with housekeeping, security, maintenance, internet, electrical, equipment, and other service providers.
Obtain quotations and coordinate service requirements as instructed by management.
Monitor the quality and timely completion of vendor services.

8. Facility & Asset Management

Ensure proper use and maintenance of company assets and equipment.
Monitor office infrastructure and report damages or maintenance requirements.
Ensure that safety, cleanliness, and workplace standards are maintained.

9. Reporting & Management Support

Prepare daily, weekly, and monthly operational reports.
Maintain records of employee activities, customer issues, sales follow-ups, expenses, and branch performance.
Attend management meetings and provide operational updates.
Carry out additional responsibilities assigned by the Managing Director/Management.

Authority & Accountability

The Assistant Manager shall be responsible for the proper coordination and smooth functioning of assigned company operations and shall be accountable for timely reporting, staff coordination, customer service, facility management, and implementation of management instructions.

The Assistant Manager shall not make major financial commitments, enter into contracts, alter company policies, or make decisions having significant financial or legal implications without prior approval from the Management.

Good computer knowledge, including MS Office/Google Workspace.
Ability to prepare reports and maintain records.

Ability to work under pressure and meet deadlines.

Preferred Qualification & Experience

Bachelor's degree in Business Administration, Management, Commerce, or a related field.
2–5 years of experience in operations, administration, office management, coworking, hospitality, facility management, or a similar role.
Experience in managing multiple teams or branches will be an advantage.

The Assistant Manager will be evaluated based on:

Timely completion of assigned tasks.
Branch/facility maintenance.
Operational cost control.
Reporting accuracy.
Support towards sales and business growth.
Effective implementation of management instructions.

Pay: ₹20,000.00 - ₹30,000.00 per month
