About NSFI

National Skills Foundation of India (NSFI) is committed to strengthening skills, livelihoods, and development initiatives through effective programme implementation and institutional partnerships. The organization works closely with internal teams, partners, consultants, and other stakeholders to ensure efficient delivery of its programmes and operations.

Position Summary

The Admin and HR Associate will be responsible for supporting the day-to-day human resource and administrative functions of NSFI. The position will ensure smooth office operations, proper maintenance of employee and organizational records, timely coordination of HR processes, and effective administrative support to the organization and its projects.

The role requires a well-organized, responsible, and proactive individual who can manage multiple tasks, maintain confidentiality, and coordinate effectively with employees, consultants, vendors, and management.

Key ResponsibilitiesA. Human Resource Management

Support the recruitment process, including posting job vacancies, screening applications, scheduling interviews, and coordinating with candidates.
Assist in employee onboarding and induction processes.
Prepare and maintain employee documentation, including appointment letters, contracts, consultant agreements, and other HR-related documents.
Maintain and regularly update employee records and personnel files.
Monitor employee attendance, leave records, and other HR-related information.
Coordinate the collection and verification of monthly timesheets and other required employee documentation.
Support the preparation and coordination of payroll-related inputs, reimbursements, allowances, and other employee payments.
Assist in managing employee exits, including documentation, handover processes, and clearance procedures.
Maintain an updated database of employees, consultants, interns, and other human resources associated with NSFI.
Support the implementation of HR policies, procedures, and organizational guidelines.
Ensure confidentiality and proper handling of employee information and sensitive documents.

B. Administration and Office Management

Ensure the smooth day-to-day functioning of the office.
Maintain office records, files, registers, and administrative documentation in both physical and digital formats.
Coordinate office supplies, stationery, equipment, and other administrative requirements.
Maintain an inventory of office assets and ensure proper documentation of asset allocation and movement.
Coordinate with vendors and service providers for office-related requirements.
Support procurement and purchase processes as per organizational procedures.
Assist in obtaining quotations, preparing comparative statements, and maintaining procurement-related documentation.
Coordinate office maintenance, repairs, and other facility-related requirements.
Manage incoming and outgoing correspondence, couriers, and official documents.
Support the organization and logistics of meetings, workshops, training programmes, and events.
Coordinate travel arrangements, accommodation, and other logistical requirements for employees and consultants, as required.

C. Documentation and Compliance Support

Maintain proper records of administrative and HR-related documents.
Support the preparation and maintenance of organizational policies, formats, and standard operating procedures.
Ensure that employee and administrative documentation is complete and properly filed.
Support the Operations and Finance teams in collecting and maintaining required documents for audits and compliance purposes.
Maintain trackers for HR, administration, assets, contracts, and other operational requirements.
Ensure timely follow-up on pending documentation and approvals.

D. Operational Coordination

Coordinate with project teams to support their administrative and HR-related requirements.
Follow up with employees, consultants, and relevant stakeholders for timely submission of required documents.
Support management in implementing organizational systems and processes.
Assist in preparing periodic administrative and HR reports and updates.
Perform other responsibilities assigned by the management based on organizational requirements.

Qualifications and ExperienceEssential Qualifications

Bachelor's degree in Human Resources, Business Administration, Management, Commerce, or a related field.
A postgraduate qualification in HR or Management will be an advantage.

Experience

0–3 years of relevant experience in HR, administration, office management, or operations.
Experience working with an NGO, development organization, social sector organization, or project-based organization will be preferred.

Required Skills and Competencies

Ability to manage multiple tasks and priorities effectively.
Good documentation and record-management skills.
Proficiency in MS Office, particularly Excel, Word, and PowerPoint.

Ability to handle confidential information responsibly.
Proactive approach and willingness to take ownership of assigned responsibilities.
