Job Description – Customer Care & Front Office Executive

Job Title: Customer Care & Front Office Executive
Reports To: Store Manager

Job Summary

The Customer Care & Front Office Executive is responsible for managing the store's front office operations, attending to walk-in and phone customers, supporting sales activities, handling customer inquiries, maintaining customer records, coordinating order processing, and ensuring a smooth customer experience. The role also includes assisting with daily store administration, customer communication, and receipt management.

Key Responsibilities

Customer Service & Front Office

Welcome and assist walk-in customers in a professional and friendly manner.
Respond to customer inquiries through phone calls, WhatsApp, email, and social media.
Provide accurate information about products, pricing, offers, availability, and company policies.
Handle customer complaints, feedback, and service requests, ensuring timely resolution.
Maintain excellent customer relationships and ensure high customer satisfaction.

Sales Support

Guide customers in selecting suitable products based on their requirements.
Support the sales team in achieving daily and monthly sales targets.
Generate quotations and assist customers with order placement.
Follow up with customers regarding inquiries, quotations, and pending orders.
Promote new products, seasonal offers, and promotional campaigns.

Billing & Receipt Management

Coordinate with the billing counter for smooth customer service.
Verify customer receipts and billing details whenever required.
Maintain records of sales receipts, customer orders, and payment confirmations.
Assist customers with billing-related queries and payment issues.
Ensure proper filing and documentation of customer receipts and transaction records.

Order Processing & Delivery Coordination

Process customer orders accurately.
Coordinate with Stores, Warehouse, Dispatch, and Logistics teams for timely order fulfillment.
Update customers on order and delivery status.
Handle order modifications, cancellations, exchanges, and returns as per company policy.

Customer Database Management

Maintain customer records and contact information.
Collect customer feedback and prepare customer service reports.
Support customer loyalty programs and membership registrations.
Update customer information in ERP/CRM systems.

Administrative Support

Maintain front office registers and customer service documentation.
Prepare daily reports on customer inquiries, sales support activities, and pending issues.
Coordinate with Sales, Accounts, Warehouse, Marketing, and other departments.
Perform other duties assigned by the Store Manager.

Qualifications

Any Bachelor's Degree.
1–3 years of experience in Retail, Customer Service, Front Office, or Sales Support.
Freshers with excellent communication skills may also apply.

Required Skills

Excellent communication and interpersonal skills.
Customer-focused attitude with a pleasant personality.
Good sales and customer handling skills.
Basic knowledge of billing procedures and receipt management.
Proficiency in MS Office and ERP/POS software (Gofrugal experience is an added advantage).
Good organizational and multitasking abilities.
Ability to work in a fast-paced retail environment.
