Job Description – Personal Assistant to the CEO Position

Personal Assistant (PA) to the CEO

Location

Greater Noida / Delhi NCR (Work from Office with occasional travel)

Reporting To

Founder & CEO

About the Role

We are looking for a highly organized, proactive, and trustworthy Personal Assistant to provide executive, administrative, and operational support to the CEO. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, following up on business priorities, and ensuring the CEO's day-to-day activities run efficiently.

Key Responsibilities of Support

Manage the CEO's calendar, appointments, meetings, and travel plans.
Prioritize daily schedules and ensure timely follow-ups.
Screen calls, emails, and correspondence.
Draft emails, letters, reports, presentations, and meeting notes.
Prepare agendas and record Minutes of Meeting (MoM).

Business Coordination

Coordinate with internal teams, clients, vendors, and business partners.
Track action items and ensure timely completion.
Follow up with stakeholders on pending tasks.
Support execution of strategic initiatives and special projects.

Administrative Support

Organize documents, contracts, and confidential records.
Maintain digital and physical filing systems.
Prepare reports, dashboards, and presentations.
Assist in organizing events, meetings, and business travel.

Communication

Act as the first point of contact on behalf of the CEO.
Handle professional communication with clients, government agencies, educational institutions, and corporate partners.
Maintain confidentiality at all times.

Personal Assistance

Assist with personal scheduling and appointments as required.
Coordinate travel, accommodation, and expense management.
Handle miscellaneous tasks delegated by the CEO.

Qualifications

Bachelor's degree in Business Administration, Management, or a related field.
0–3 years of experience as a Personal Assistant, Executive Assistant, or similar role.
Fresh graduates with exceptional organizational and communication skills may also apply.
