Job Description:

Job Summary

We are looking for a professional, confident, and well-organized Front Office Executive to manage the school's reception and front-office operations. The candidate will be responsible for welcoming students, parents, visitors, and staff, handling calls and correspondence, coordinating with various departments, and ensuring smooth day-to-day front-office functioning.

The ideal candidate should have excellent English communication skills, a pleasant personality, strong coordination abilities, and good administrative skills.

Key Responsibilities

1. Front Office Management

Manage the school's reception/front desk professionally and efficiently.
Welcome and assist parents, visitors, students, vendors, and other stakeholders.
Maintain a professional and welcoming environment at the reception.
Handle incoming and outgoing calls and direct them to the appropriate department/person.
Receive, record, and distribute messages, documents, courier, and correspondence.
Maintain visitor records and issue visitor passes as per school procedures.
Handle general enquiries and provide accurate information regarding school processes, timings, events, and facilities.

2. Coordination

Coordinate effectively with the Principal, School Administrator, teachers, transport, accounts, HR, security, housekeeping, and other departments.
Coordinate parent appointments and meetings with school authorities.
Communicate important information and updates to parents and staff as instructed.
Support coordination of school events, meetings, workshops, orientations, and other activities.
Follow up with concerned departments to ensure tasks are completed on time.
Assist in maintaining smooth communication between the front office and other school departments.

3. Communication

Handle all communication with parents, students, staff, and visitors professionally.
Draft and send professional emails, notices, messages, and routine correspondence.
Maintain high standards of spoken and written English.
Respond to queries politely and confidently, both over the phone and in person.
Escalate sensitive or important matters to the appropriate authority promptly.

4. Administrative Support

Maintain front-office records, registers, files, and documentation.
Assist with student/parent information and routine administrative documentation.
Manage appointment schedules and meeting calendars.
Support the administration team with data entry, reports, printing, scanning, and filing.
Maintain confidentiality of student, parent, staff, and school information.
Assist in emergency communication and follow established school protocols.

5. Parent & Visitor Handling

Handle parent and visitor interactions with patience and professionalism.
Understand the nature of enquiries and direct them to the appropriate person.
Manage difficult or sensitive situations calmly and escalate them when required.
Ensure that all visitors follow school security and visitor-management procedures.

Ability to work effectively in a fast-paced school environment.

Qualification & Experience

Graduate in any discipline.
1–3 years of experience in front office, reception, administration, customer service, or a similar role.
Experience in a school/educational institution will be an advantage.
Candidates with strong English communication and professional presentation skills will be preferred.

Pay: ₹20,000.00 - ₹25,000.00 per month

Work Location: In person
