ABOUT THE OPPORTUNITY

Heartfulness Institute is a global non-profit organisation dedicated to heart-based meditation, wellness, and human development. With presence in over 160 countries and a sprawling 1,400-acre global headquarters at Kanha Shanti Vanam, Hyderabad, we are home to one of the world's largest meditation centres.

We are looking for a highly capable, discreet, and agile Executive Assistant to provide dedicated executive support within our organisation. This is a rare opportunity to work at the heart of a global institution — supporting high-impact decisions, coordinating across diverse portfolios, and representing the leadership office with professionalism and integrity.

WHAT YOU WILL DO

Manage a complex, multi-domain calendar and serve as the primary gatekeeper — scheduling, prioritising, and filtering appointments across time zones.
Coordinate end-to-end travel logistics including itineraries, visa processing, security protocols, and accommodation for domestic and international engagements.
Attend senior meetings; prepare precise Minutes of Meeting and follow up rigorously on action items with institutional stakeholders.
Draft executive-level communications, briefing notes, presentations, and summaries.
Liaise with global dignitaries, institutional partners, visiting VIPs, and senior leaders — maintaining appropriate protocol and discretion at all times.
Safeguard and maintain confidential documentation including records, contracts, correspondence, and institutional data across multiple portfolios.
Manage secure digital communication platforms, virtual conferencing for global meetings, and confidential filing systems with strict access discipline.

WHAT WE ARE LOOKING FOR

Education: Bachelor's or Master's degree in Business Administration, Communications, Humanities, or a related field.
Experience: 2–5 years of experience as an Executive Assistant, or Senior Administrative Professional in a corporate or institutional setting.
Languages: Complete fluency in written and spoken English; proficiency in two or more additional languages is a strong advantage.
Technical Skills: Strong command of Google Workspace, Microsoft 365, task management platforms, and enterprise communication tools.
Temperament: Absolute discretion, high emotional intelligence, and the ability to maintain composure under sustained pressure.
Cultural Fit: Familiarity with Heartfulness values and the culture of Kanha Shanti Vanam is a significant advantage.
Availability: Ability to be available beyond standard hours when required; immediate family committed to long-term residency in or near Kanha Shanti Vanam.
