Job Summary:

We are seeking a meticulous and highly organized Document Controller to manage and maintain all project-related documentation. The successful candidate will be responsible for ensuring the accurate, timely, and efficient control of documents, drawings, and correspondence throughout their lifecycle. This role is crucial for maintaining project integrity, facilitating smooth information flow, and ensuring compliance with company and client standards.

Key Responsibilities:

Manage the receipt, registration, distribution, and filing of all project documents, including drawings, specifications, reports, and correspondence.
Ensure all documents are accurately numbered, categorized, and stored in the designated document management system (DMS) or physical archives.
Maintain and update document control logs and registers to track the status and location of all documents.
Implement and enforce document control procedures and policies to ensure consistency and compliance with project requirements and industry standards (e.g., ISO 9001).
Coordinate with various departments and external stakeholders to facilitate document review, approval, and distribution processes.
Perform quality checks on documents to ensure accuracy, completeness, and adherence to formatting guidelines before issuance.
Manage document revisions, ensuring that only the latest approved versions are in circulation and obsolete documents are properly archived.
Prepare and issue transmittals for document submissions and receipts.
Assist project teams with document retrieval and provide support for audits and inspections.
Train new team members on document control procedures and the use of the document management system.
Identify and implement improvements to document control processes and systems to enhance efficiency and effectiveness.
Ensure confidentiality and security of sensitive project information.
