The role should focus on patient experience, smooth clinic operations, and increasing patient retention—not just answering calls. Modern dental clinics expect front office staff to handle appointments, patient communication, billing support, and coordination with dentists.

Front Office Executive / Patient Care Coordinator

Key Responsibilities1. Patient Reception

Welcome every patient with a smile.
Verify appointments and patient details.
Guide new patients through registration.
Maintain a clean and organized reception area.

2. Appointment Management

Schedule appointments efficiently.
Send reminders via WhatsApp and phone.
Reschedule cancelled appointments.
Coordinate with doctors to minimize waiting time.

3. Telephone & WhatsApp Handling

Answer incoming calls professionally.
Respond to WhatsApp enquiries.
Explain clinic timings, services, and location.
Handle patient queries politely.

4. Billing & Payment

Generate invoices.
Collect payments (Cash/UPI/Card).
Maintain daily payment records.
Issue receipts.

5. Patient Relationship Management

Follow up after treatments.
Remind patients about review visits.
Wish patients on birthdays.
Collect Google reviews after successful treatment.

6. Records Management

Junior Dentist (BDS)

Roles and Responsibilities1. Patient Consultation

Examine patients and record dental history.
Diagnose common dental problems.
Explain treatment options and obtain informed consent.
Develop appropriate treatment plans under the guidance of the Chief Dentist when required.

2. Clinical Procedures

Perform routine dental procedures, including:
Dental scaling and polishing
Tooth-colored fillings
Simple tooth extractions
Root canal treatment (based on competency)
Crown preparation and temporary restorations
Pediatric dental treatment
Preventive procedures such as fluoride application and sealants
Assist senior dentists in complex procedures such as implants, orthodontics, and oral surgery.

3. Infection Control

Follow strict sterilization and infection control protocols.
Maintain aseptic techniques throughout procedures.
Ensure proper disposal of biomedical waste.
Comply with all clinic safety guidelines.

4. Patient Education

Educate patients on oral hygiene practices.
Provide post-treatment instructions.
Counsel patients on preventive dental care and regular check-ups.

5. Clinical Documentation

Maintain accurate treatment records.
Document diagnosis, procedures, prescriptions, and follow-up plans.
