Happidli is a growing South Indian food brand bringing authentic Karnataka-style breakfast and snacks to Mumbai.
With company-owned and franchise outlets, a Central Kitchen, and plans for rapid expansion across Mumbai and surrounding areas, we are building a scalable food business driven by authentic food, strong processes, trained teams, and technology.
We are looking for an HR Executive who can take ownership of day-to-day HR operations and help us build a strong, disciplined, and people-focused organisation as we grow.
Role Overview
The HR Executive will be responsible for managing the complete employee lifecycle at Happidli — from recruitment and onboarding to attendance, payroll, documentation, employee engagement, performance coordination, and exit formalities.
The ideal candidate should be highly organised, approachable, proactive, and comfortable working with both office employees and frontline F&B staff across outlets and the Central Kitchen.
This is a hands-on generalist HR role where you will be expected to execute, improve systems, and solve day-to-day people-related challenges.
Key Responsibilities
1. Recruitment & Hiring
- Manage end-to-end recruitment for outlet, Central Kitchen, delivery, support, and office roles.
- Understand manpower requirements from Operations and other departments.
- Prepare and publish job postings across relevant platforms.
- Source candidates through job portals, references, local networks, social media, and employee referrals.
- Screen candidates and conduct initial HR interviews.
- Coordinate interviews with department/store managers.
- Maintain an active candidate database and recruitment pipeline.
- Coordinate offer discussions, selection, and joining formalities.
- Ensure manpower requirements are closed within defined timelines.
- Develop local hiring channels around Mumbai and other operating locations.
2. Employee Onboarding
- Manage joining formalities and employee documentation.
- Collect and verify required employee documents.
- Create employee records and maintain accurate HR databases.
- Issue offer letters, appointment letters, and other HR documents.
- Coordinate induction and orientation for new employees.
- Ensure employees understand company policies, attendance rules, salary structure, work expectations, and basic SOPs.
- Coordinate employee uniforms, ID cards, access, and other joining requirements.
3. Attendance & Payroll
- Maintain accurate employee attendance records across outlets, Central Kitchen, and office.
- Track late coming, absenteeism, weekly offs, leave, overtime, and other attendance-related matters.
- Coordinate monthly payroll preparation with Finance/Management.
- Verify attendance and salary inputs before payroll processing.
- Maintain records of salary advances, deductions, incentives, overtime, and other adjustments.
- Resolve employee queries related to salary and attendance.
- Maintain payroll-related documentation and records.
4. HR Documentation & Records
- Maintain complete and updated employee files.
- Maintain employee master data and HR trackers.
- Manage documentation related to joining, transfers, promotions, salary revisions, warnings, disciplinary actions, and exits.
- Maintain leave and attendance records.
- Ensure all employees have the required documentation on file.
- Maintain confidentiality of employee and company information.
- Keep HR records organised and readily accessible for audits and internal requirements.
5. Employee Relations
- Act as the first point of contact for routine employee concerns and HR-related queries.
- Build a positive and professional relationship with outlet and Central Kitchen staff.
- Understand employee concerns and coordinate their resolution with management.
- Address absenteeism, discipline, behavioural issues, and workplace conflicts appropriately.
- Conduct regular employee check-ins where required.
- Help build a culture of accountability, respect, teamwork, and ownership.
6. Performance & Employee Management
- Coordinate employee performance review processes.
- Maintain records of employee performance and feedback.
- Support managers in documenting performance issues and improvement plans.
- Track probation periods and confirmation timelines.
- Coordinate promotions, salary revisions, transfers, and role changes.
- Help identify high-performing employees and retention risks.
7. Training & Development
- Coordinate joining and induction training.
- Work with Operations to ensure employees complete required operational and food-service training.
- Maintain training records.
- Track employee training completion and refresher training requirements.
- Support the creation of basic training calendars and HR development initiatives.
8. Employee Engagement & Retention
- Develop simple employee engagement initiatives suitable for a growing QSR business.
- Organise employee recognition and appreciation activities.
- Track employee feedback and identify recurring people-related issues.
- Work with management to improve employee retention and workplace satisfaction.
- Help build a culture where frontline employees feel valued and connected to the Happidli brand.
9. Exit & Full & Final Process
- Manage resignation and exit formalities.
- Conduct or coordinate exit interviews.
- Coordinate notice period, handover, asset recovery, and clearance processes.
- Prepare exit documentation and coordinate Full & Final settlement with Finance.
- Maintain accurate employee separation records.
- Analyse reasons for attrition and highlight recurring concerns to management.
10. HR Policies & Process Building
- Help create and maintain practical HR policies for Happidli.
- Establish standard processes for hiring, onboarding, attendance, leave, payroll, disciplinary actions, and exits.
- Continuously improve HR processes as the organisation grows.
- Help implement HR tools, software, trackers, and automation wherever useful.
- Ensure HR processes are consistently followed across outlets and the Central Kitchen.
11. Compliance & Statutory HR Support
- Maintain records required for applicable labour and employment compliance.
- Coordinate with external consultants/accountants where required for statutory HR matters.
- Support documentation related to applicable PF, ESIC, Professional Tax, Shops & Establishment and other requirements, as applicable.
- Ensure HR documentation and processes are maintained in an audit-ready manner.
Key Performance Indicators (KPIs)
The HR Executive will be measured on:
- Hiring TAT: Positions closed within agreed timelines.
- Manpower Availability: Required staffing maintained across outlets and CK.
- Employee Documentation: 100% employee records complete and updated.
- Payroll Accuracy: Minimum payroll errors and timely processing.
- Attendance Accuracy: Accurate and timely attendance records.
- Employee Retention: Reduction in avoidable employee attrition.
- Probation Tracking: 100% timely follow-up on probation/confirmation.
- Training Completion: Required employee training completed on schedule.
- Employee Grievance Resolution: Timely resolution and escalation of employee concerns.
- HR Process Compliance: Consistent implementation of HR policies and processes.
Candidate ProfileMust Have
- 1–3 years of experience in HR, preferably as an HR Executive/HR Generalist.
- Experience handling recruitment and employee documentation.
- Basic understanding of payroll and attendance management.
- Strong communication and interpersonal skills.
- Good command of English and Hindi; Marathi would be an advantage.
- Comfortable working with Excel/Google Sheets and basic HR software/tools.
- Strong organisational and follow-up skills.
- Ability to work independently and take ownership.
- Willingness to work closely with frontline employees and operational teams.
Preferred
- Experience in F&B, QSR, retail, hospitality, restaurants, or other frontline-heavy businesses.
- Experience hiring blue-collar/frontline employees.
- Experience handling multi-location employees.
- Familiarity with HRMS/payroll systems.
- Basic understanding of labour laws and statutory compliance.
- Experience building HR processes in a growing company/startup.

You will work closely with the founders and Operations team and play an important role in building the people and culture behind Happidli's expansion.
