Full job description

Senior Talent Acquisition – Vendor Management

Experience: 3–5 Years
Location: Baner, Pune
Department: Vendor Management
Employment Type: Full-Time

1. Vendor Management

Manage relationships with recruitment vendors, staffing agencies, and external hiring partners.
Identify, evaluate, onboard, and manage vendors based on business requirements.
Ensure vendors deliver quality candidates within agreed timelines and requirements.
Monitor vendor performance against SLAs, turnaround time, quality, and closure metrics.
Conduct regular vendor performance reviews and provide feedback for improvement.
Manage vendor escalations, performance gaps, and related issues.
Support vendor negotiations, commercials, and agreements in coordination with relevant stakeholders.

2. Recruitment & Hiring Coordination

Manage recruitment activities for sub-contractual positions through external vendors.
Work closely with TA teams and Hiring Managers to understand and prioritize hiring requirements.
Ensure timely sourcing, screening, candidate submissions, interview coordination, offer management, and closures.
Track candidate pipelines and ensure regular follow-ups with vendors and internal stakeholders.

3. Stakeholder Management

Act as a key point of contact between vendors, Hiring Managers, candidates, and the TA team.
Ensure clear and timely communication throughout the recruitment lifecycle.
Provide regular updates on open positions, candidate status, interviews, offers, and joining status.
Understand hiring requirements and work with vendors to improve candidate quality.
Proactively address recruitment challenges and manage escalations to ensure timely resolution.

4. Vendor Performance & Reporting

Track and analyze vendor performance and recruitment effectiveness.
Prepare regular vendor performance reports, dashboards, and MIS.
Monitor key metrics including:
Time to Submit
Time to Hire
Submission-to-Interview Ratio
Interview-to-Selection Ratio
Offer-to-Join Ratio
Vendor-wise Closure Rate
Candidate Quality
SLA Compliance
Identify performance gaps and work with vendors on corrective actions and improvement plans.

5. Compliance & Process Management

Ensure vendor-led recruitment activities comply with company policies, processes, and applicable statutory requirements.
Maintain accurate records of vendor activities, candidate submissions, interview outcomes, offers, and closures.
Ensure adherence to approved recruitment processes, vendor terms, and SLAs.

6. Process Improvement

Evaluate vendor effectiveness and identify opportunities to improve quality, turnaround time, cost efficiency, and hiring outcomes.
Implement best practices for effective vendor management.
Support the TA team in strengthening recruitment processes and vendor partnerships.

Qualifications

Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
3–5 years of experience in Talent Acquisition, Recruitment, Vendor Management, Staffing, or a related HR function.
Proven experience in managing recruitment agencies/vendors.
Experience in IT recruitment, contractual hiring, or volume hiring is an added advantage.
