Position: Documentation Head
Location: As per company requirement
Employment Type: Full-Time
Language Requirement: Fluent in Hindi and English (Mandatory)

About the Role

Klickedu is seeking an experienced and detail-oriented Documentation Head to manage and oversee the complete student documentation process for international admissions. The ideal candidate should possess excellent organizational skills, strong communication abilities in both Hindi and English, and the capability to coordinate efficiently with students, parents, agents, universities, and internal departments.

Key Responsibilities

Lead and manage the Documentation Department and ensure smooth day-to-day operations.
Verify, review, and process student admission documents with complete accuracy.
Ensure all documentation complies with university and visa requirements.
Coordinate with students, parents, counsellors, telecallers, and admission teams regarding pending documents.
Maintain proper records of student files, passports, academic certificates, and other required documents.
Monitor document submission timelines and ensure deadlines are met.
Coordinate with partner universities for admission letters, invitation letters, visa documentation, and related formalities.
Maintain updated documentation trackers and daily status reports.
Handle document verification and identify discrepancies before submission.
Ensure confidentiality and secure handling of all student information and official documents.
Train and supervise documentation executives to maintain quality and efficiency.
Prepare daily, weekly, and monthly documentation progress reports for management.
Resolve documentation-related issues promptly and ensure smooth communication between departments.

Required Skills & Qualifications

Bachelor's degree in any discipline.
Minimum 2–5 years of experience in documentation, admissions, visa processing, or education consultancy.
Fluent communication in Hindi and English is mandatory.
Excellent written and verbal communication skills.
Strong attention to detail and document verification skills.
Good knowledge of Microsoft Office (Excel, Word, Outlook) and CRM systems.
Ability to manage multiple student files simultaneously while maintaining accuracy.
Strong leadership, coordination, and problem-solving skills.
Ability to work under pressure and meet strict deadlines.

Key Performance Indicators (KPIs)

The Documentation Head will be evaluated based on:

Accuracy of documentation.
Timely completion of student files.
Compliance with university and visa requirements.
Number of documentation errors or rejections.
Daily documentation progress.
Coordination efficiency with internal teams and external partners.
Team productivity and workflow management.
Student and partner satisfaction.
