Full job description

Senior Executive Stores & Purchase

Purchase (General Stores)

Prepares list for purchase by review and verifying the requests submitted by the departments.

Provides information to managers and management on choices of items available for purchase.

Places orders to vendors. Follows up on orders ensuring that materials are delivered on promised dates and maintaining continuity of supply.

Maintains records and files related to purchasing activities

Files orders from stock based on authorized requisitions

Performs clerical functions incidental to purchasing activities.

Material management

Manages materials management systems

Prepares and administers the materials and suppliesPlans, coordinates and supervises physical inventories.

Coordinates procurement activities with Manager-Administration

Perform a variety of clerical and manual tasks involved in maintaining inventory controls to include receiving, verifying, storing and issuing various supplies, materials and equipment.

Receive and unpack shipments and verify contents against purchase order and invoices;

Maintains bin card and stock card

Maintain clean and orderly conditions in the stores

Regularly shelf, label materials

Plan, manage and coordinate activities of designated materials involved in acquisition, receiving, storage, distribution and control of medical, surgical and other supplies used by the hospital in the care and treatment of patients or in related to the hospital operations.

Inspect all invoices and receiving reports to determine if quantity ordered matches quantity received; review prices, points and payment terms to ensure agreement with purchase order and dispose of discrepancies.

Verifies orders against items on requisitions or invoices. Counts, classifies and inspects materials.

Stores management

Stores planning

Receive materials as ordered

Inform indenting departments regarding the arrival of stores.Inspection of materials.

Record keeping.

Storage and preservation.

Issue of materials against authorized indents.

Bill processing of materials received.

Physical safe custody of materials.

Process purchase requisition for items.

Condemnation and disposal.

Duties:

The items on stores should be placed in such a way that these can be easily located to ensure the availability of products.

To maintain the stores premises neat and clean. Adequate storage and preservation should be provided.

Efficient and effective inventory control.

To ensure that materials are issued against authorized requisitions only.

To keep up-to-date record of material issued, received and balances in stock.

To be the custodian of the stores and is responsible for the safety and security.

Accountable for any variation in the quantities of stocks

Stock Verification

To verify the stocks held physically against the quantity shown in the ledgers.To identify areas, which require more, control e.g. those areas where minor discrepancies are frequently observed.

To disclose the possibility of theft, fraud, loss.

OT Stores

Serves as a main source for OT Stores material issuing and documentation.

Person Specification

Essential Minimum Requirements (to those characteristics considered absolutely necessary)

Experience, Education and Formal Training

Minimum 2 years of work experience in Stores operations or an associate degree, or an equivalent combination of experience and education.

Computer experience including Inventory systems, Excel, Word and database.

Complexity and Organization

Wide variety of complicated job tasks requiring coordinating numerous processes/ methods. Primary responsibility of job is to coordinate and organize the work of others.

Interpersonal Relations

Offers or obtains specialized information and provides assistance on complex matters.

Officially represents someone, whether the directors or the hospital management.Work has significant impact both on internal activities of the hospital and outside the hospital.

Errors are difficult to recognize and correct and can cause considerable harm or financial loss to individuals, departments, and the hospital or to the company.

Documentation

Prompt maintenance of Stores documents used in stores in terms of receipt of materials, inspection of materials, Issue of materials, Verification of Stores and Materials control
