Position: Project Assistant to CEO

Location: Thiruvananthapuram, Kerala
Employment Type: Full-Time
Department: CEO Office / Management Office

About the Role

We are seeking a highly organized, analytical, proactive, and results-oriented Project Assistant to the CEO to provide comprehensive support to the CEO in project coordination, management reporting, data analysis, strategic follow-up, and executive-level business operations.

The role requires a dynamic professional who can effectively coordinate with senior management and cross-functional teams, monitor project progress, analyze business data, prepare executive dashboards and reports, and ensure timely follow-up on key initiatives and action points.

The ideal candidate should possess strong proficiency in MS Excel, project management tools such as MS Project or Primavera, AI-enabled productivity tools, data analytics, and management reporting, with the ability to convert data and business information into meaningful insights for management decision-making.

Key Responsibilities

Provide day-to-day project and administrative support to the CEO and Management Office.
Coordinate and monitor strategic projects, initiatives, and key action items assigned by the CEO.
Prepare MIS reports, management dashboards, presentations, and analytical reports for senior management.
Track project timelines, milestones, deliverables, dependencies, and pending actions using MS Project, Primavera, or similar project management tools.
Analyze business and operational data using MS Excel, including advanced formulas, Pivot Tables, dashboards, data visualization, and reporting tools.
Develop and maintain executive dashboards and performance trackers to support management review and decision-making.
Utilize AI tools and AI-enabled productivity solutions to improve reporting, data analysis, documentation, research, and workflow efficiency.
Coordinate with various departments and stakeholders to obtain updates, resolve follow-up requirements, and ensure timely completion of assigned activities.
Prepare meeting agendas, minutes of meetings, action trackers, and follow-up reports as required.
Conduct data collection, analysis, research, and benchmarking to support strategic projects and management initiatives.
Identify project delays, operational gaps, and potential risks and escalate critical matters to the CEO/Management.
Maintain confidentiality and exercise a high level of professionalism while handling sensitive management information.
Perform other project coordination, analytical, and strategic assignments entrusted by the CEO.

Qualification

B.Tech / Bachelor’s Degree in Engineering or a relevant discipline.
Additional qualifications or certifications in Project Management, Data Analytics, Business Analytics, or Management will be an added advantage.

Required Skills & Competencies

Strong proficiency in MS Excel and advanced data analysis.
Hands-on experience with MS Project, Primavera, or equivalent project management software is mandatory.
Working knowledge of AI tools and AI-enabled productivity applications.
Strong analytical, problem-solving, and decision-making abilities.
Excellent skills in MIS reporting, dashboard development, and data visualization.
Strong project coordination and follow-up capabilities.
Excellent written and verbal communication skills.
Ability to prepare professional PowerPoint presentations and management reports.
Strong organizational and time-management skills.
Ability to work independently, manage multiple priorities, and meet strict deadlines.
High level of integrity, confidentiality, attention to detail, and professional maturity.
Ability to interact confidently with CXOs, senior management, department heads, and cross-functional teams.

Preferred Experience

Candidates with experience in project coordination, management reporting, business analytics, CEO/Management Office support, PMO, or strategic project execution will be preferred.

The ideal candidate will be a highly dependable, tech-savvy, analytical, and proactive professional who can work closely with the CEO, independently drive follow-ups, manage multiple projects, and provide accurate and timely information to facilitate effective management decisions.

Pay: Up to ₹80,000.00 per month
