Full job description

Job Summary

Aspire Fertility Center is looking for an experienced and detail-oriented Accountant to independently manage day-to-day accounting operations, financial records, reconciliations, statutory compliance, and financial reporting. The candidate will play a key role in ensuring accuracy, transparency, financial control, and timely reporting across the organisation.

Key Responsibilities

1. Day-to-Day Accounting

Manage and maintain complete books of accounts and ensure accurate and timely accounting entries.
Handle journal entries, payment entries, receipt entries, purchase entries, sales entries, and general ledger maintenance.
Verify supporting documents before processing financial transactions.
Ensure proper classification of expenses and income under the appropriate ledger and cost centre.

2. Revenue and Billing Reconciliation

Reconcile daily and monthly revenue with the billing/HIMS system.
Verify cash, card, UPI, bank transfer, and other payment collections.
Monitor pending payments, advances, refunds, credit notes, discounts, and cancelled invoices.
Identify and resolve discrepancies between billing, collections, and accounts.
Coordinate with the Front Office, Billing, Pharmacy, Lab, and other departments for revenue-related reconciliation.

3. Accounts Payable and Vendor Management

Verify vendor invoices, purchase bills, and supporting documents.
Maintain vendor ledgers and reconcile vendor balances periodically.
Prepare payment schedules based on approved payment terms.
Ensure timely processing of vendor payments after obtaining necessary approvals.
Follow up on discrepancies in invoices, purchase orders, and payments.

4. Accounts Receivable

Monitor outstanding receivables and follow up with the concerned departments.
Maintain accurate records of advances and pending collections.
Prepare ageing reports and highlight long-pending receivables to management.

5. Bank and Cash Reconciliation

Perform regular bank reconciliations and resolve discrepancies promptly.
Monitor cash transactions and ensure proper documentation.
Reconcile physical cash with daily collection reports.
Maintain records of bank deposits, transfers, and payment transactions.

6. Statutory Compliance

Ensure timely preparation and documentation for GST and TDS.
Coordinate with the Chartered Accountant and other external consultants for statutory filings and compliance.
Maintain all required financial documents and supporting records for statutory purposes.
Keep updated with applicable taxation and financial compliance requirements.

7. Financial Reporting and MIS

Prepare daily, weekly, and monthly financial reports for management.
Prepare revenue, expense, cash flow, outstanding payable, and receivable reports.
Assist in monthly and annual financial closing.
Support the preparation of Profit & Loss statements, Balance Sheet, and other financial statements.
Provide financial data and analysis to support management decision-making.

8. Budgeting and Cost Control

Assist management in budgeting and financial planning.
Monitor expenses against approved budgets.
Identify unusual expenses and potential areas for cost control.
Support profitability and cost analysis across departments and services.

9. Audit and Documentation

Coordinate with internal and external auditors.
Ensure that vouchers, invoices, receipts, agreements, and other financial documents are properly maintained and readily available.
Prepare schedules and supporting documents required for audits.
Address audit queries in coordination with management and consultants.

10. Healthcare and Operational Coordination

Coordinate with Administration, Pharmacy, Laboratory, Front Office, HR, and other departments on financial matters.
Reconcile pharmacy purchases, sales, stock-related financial transactions, and vendor invoices.
Verify departmental expenses and ensure proper documentation and approvals.
Support financial reconciliation during HIMS implementation or migration.

Maintain strict confidentiality of patient, employee, vendor, and organisational financial information.

Pay: ₹50,000.00 - ₹100,000.00 per month
