Position: Personal Secretary / Executive Assistant

POSITION OVERVIEW:

Shubh Labh Matrimonial Pvt. Ltd. is looking for a smart, responsible, well-organized and trustworthy Personal Secretary / Executive Assistant to provide day-to-day administrative, coordination and executive support to the management.

The candidate should have good communication and computer skills and should be comfortable handling schedules, calls, correspondence, documentation, follow-ups and confidential management-related responsibilities.

The role requires professionalism, reliability, discretion, good organizational ability and a responsible approach towards assigned work.

KEY RESPONSIBILITIES:

Manage daily appointments, meetings, schedules, reminders and follow-ups.
Handle calls, messages, emails and important correspondence professionally.
Draft and type letters, emails, notices and other official communications as required.
Maintain proper records, documents, files and confidential information.
Coordinate with office staff, clients, vendors and other concerned persons on behalf of management.
Maintain follow-up records and ensure that important pending matters are followed up on time.
Assist management in planning and organizing meetings, appointments and day-to-day activities.
Prepare basic reports, notes, summaries and work updates as required.
Handle MS Word, Excel, email, internet and other routine office applications.
Assist in documentation, data management and general administrative work.
Support management in day-to-day office coordination and operational activities.
Maintain confidentiality of company, client, staff and management-related information.
Perform other reasonable administrative and executive support responsibilities assigned by management from time to time.

REQUIRED SKILLS:

Good communication skills in Hindi and English.
Good computer knowledge.
Working knowledge of MS Word, Excel, email and internet.
Good typing, documentation and record-maintenance skills.
Ability to communicate professionally over phone, WhatsApp and email.
Good organizational and time-management skills.
Ability to manage multiple tasks, reminders and follow-ups.
Responsible, punctual and disciplined approach towards work.
Professional behaviour and presentable personality.
Ability to handle confidential information with discretion.
Willingness to learn, take responsibility and adapt to the company's work processes.

QUALIFICATION & EXPERIENCE:

Graduate candidates will be preferred.
Candidates with experience as a Personal Secretary, Executive Assistant, Office Coordinator, Administrative Executive, Back Office Executive, HR Coordinator or in a similar profile will be preferred.
Freshers with strong communication, computer, organizational and coordination skills may also be considered.
Final selection will be based on the candidate's overall skills, communication, experience, attitude and suitability for the position.

WORKING HOURS & WEEKLY OFF:

Office Timing: 10:30 AM to 7:00 PM

The office remains open 7 days a week.

Employees are provided one weekly off, either Saturday or Sunday, according to the work schedule.

SALARY:

Salary will be discussed during the interview and will be decided based on the candidate's qualification, relevant experience, communication skills, capabilities and overall suitability for the position.

IMPORTANT INFORMATION:

This is a full-time, in-person, office-based position at Boring Road, Patna.
Candidates should apply only if they are comfortable working regularly from our Boring Road office.
The position involves working closely with management; therefore, professionalism, reliability, confidentiality, punctuality and consistency are important requirements.
