Full job description

NOTE: marketing agency background strongly preferred

Hi, I'm Swapnica Jain, founder of a digital marketing agency and an e-commerce brand called Saraaya. I'm looking for a reliable, hands-on Executive Assistant who can sit at the center of daily operations like coordinating between the founder, clients, designers, and the SEO team while also contributing real thinking on content and client strategy. This is not a purely administrative role. You'll need to understand marketing well enough to help shape what goes out, not just track whether it went out.

This is a direct, founder + client-facing role. You'll take instructions and run with them, and be someone I can trust to handle things without me constantly checking in.

What You'll Do

Own day-to-day coordination between the founder, clients, the graphic designer/video editor, and the SEO specialist, and keep every deliverable moving without needing the founder to chase it
Post and schedule content across social media platforms as directed
Review and route content (blogs, social posts, ad creatives) between clients and the internal team, tracking feedback and edits until sign-off
Contribute to content and social strategy for existing and new client accounts — suggesting post ideas, campaign angles, and content calendars, not just executing someone else's plan
Help with quick photos/product shoot ideas and use AI image tools (Midjourney, Claude Canva AI, ChatGPT/GPT image tools, or similar) to generate fast turnaround images for Instagram/Facebook stories and posts
Manage the founder's calendar, client call scheduling, and follow-ups
Support hiring coordination like screening resumes, scheduling interviews for open roles
Flag risks and bottlenecks proactively - client waiting too long, designer overloaded, deadline slipping — before they become fires
Manage WhatsApp/email follow-ups as instructed

Founder Support

Be available and responsive; when I ask for something to be done, it gets done
Build trust over time to take on more independent responsibility

What We're Looking For

1–3 years of experience in an agency, marketing coordinator, or executive assistant role (marketing agency background strongly preferred over generic EA experience)
Comfortable using AI tools for quick content generation - this is a real day-to-day skill requirement, not a nice-to-have
Sharp written communication- you'll be drafting client-facing messages and internal briefs
Basic photography sense (phone camera is fine) and comfort with tools like Canva
Organized and calm under multiple moving pieces — you're the person who remembers what three other people forgot
Genuine interest in marketing/strategy, not just admin - we want someone who wants to grow into a bigger content or strategy role over time

Timings:

Full-time, Monday-Saturday
Core hours 1pm-8pm plus 2 hrs at night from home
In-office plus work from home

Are you comfortable working usually from 1 to 8 pm from office and then should be also available 2 hrs at night. The work hours have to be flexible as you will be working as my assistant and I mostly work in the US hours
This is a founder-adjacent role. You'll be working directly with me, not within a large team. Our office in Sector-63, Noida is a small, quiet setup typically 2-3 people in office at a time. If you're someone who thrives in a calm, focused environment, likes working closely with a founder — this setup will feel like a great fit. Are you comfortable with this kind of setup?
