Job Description – Executive Assistant (EA)

Role Overview

Konstruct and Live Technologies Pvt. Ltd. is looking for a smart, proactive, confident, and highly organized Executive Assistant to provide comprehensive support to senior leadership.

The ideal candidate should have excellent communication and presentation skills, a positive and solution-oriented mindset, strong executive presence, and a good understanding of the responsibilities associated with an Executive Assistant role.

The position requires a high degree of confidentiality, maturity, flexibility, and responsiveness. The candidate should also be comfortable travelling for business requirements and providing support outside regular working hours when critical or urgent business situations require it, in accordance with company policy.

Key Responsibilities

Manage the executive’s calendar, appointments, meetings, schedules, and priorities.
Coordinate internal and external meetings, including agendas, presentations, meeting materials, and follow-ups.
Manage emails, correspondence, calls, and other communication on behalf of the executive when required.
Prepare professional presentations, reports, documents, MOMs, trackers, and management updates.
Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and meeting schedules.
Accompany senior leadership on business travel or meetings whenever required.
Act as a coordination point between senior leadership, employees, clients, vendors, consultants, and other stakeholders.
Track important tasks, deadlines, commitments, and follow-up actions to ensure timely completion.
Handle confidential and sensitive information with complete discretion.
Support business meetings, events, conferences, and leadership engagements.
Assist with administrative and operational requirements related to the executive’s office.
Proactively identify priorities, anticipate requirements, and resolve day-to-day issues.
Provide timely support during urgent business situations, including outside regular office hours when reasonably required.
Maintain a professional, positive, and solution-focused approach while dealing with different stakeholders.

Candidate Profile

Strong in presentation skills and capable of preparing professional PowerPoint presentations and business documents.

Comfortable working in a fast-paced and demanding environment.
Able to prioritize multiple tasks and manage changing schedules effectively.
Comfortable with business travel as and when required.
Flexible and responsive to urgent requirements outside standard working hours.
Highly trustworthy and capable of maintaining confidentiality.
Familiar with the responsibilities and working style expected from an Executive Assistant.

Prior experience as an Executive Assistant, Personal Assistant, Management Coordinator, or similar role supporting senior leadership is preferred.
Experience working directly with Founders, Directors, CEOs, CXOs, or senior management will be an advantage.
Candidates with exposure to client-facing or management coordination roles will be preferred.
