We are looking for a friendly, professional, and organized Receptionist / Administrative Assistant to be the first point of contact for our company and to support our team with day-to-day administrative activities.

About the Role

The Receptionist / Administrative Assistant will be responsible for managing the front desk, welcoming visitors, handling calls and correspondence, coordinating office activities, and providing administrative support to the management and team.

The ideal candidate should have excellent communication skills, a professional attitude, and the ability to stay organized while handling multiple tasks.

Key Responsibilities
Reception & Front Desk

Welcome and assist visitors, clients, and guests in a professional and friendly manner.
Answer, screen, and direct incoming phone calls.
Respond to general inquiries and provide appropriate information.
Manage the reception area and ensure it is clean and organized.
Receive and distribute mail, courier packages, and documents.
Maintain visitor records when required.

Administrative Support

Provide administrative support to management and team members.
Schedule and coordinate meetings and appointments.
Prepare, organize, and maintain documents and records.
Handle basic data entry and maintain accurate information.
Assist with preparing reports, forms, presentations, and other office documents.
Coordinate internal communication and administrative requests.
Maintain office files and documentation.

Office Coordination

Monitor office supplies and coordinate purchases when required.
Coordinate with vendors, courier services, and other service providers.
Assist with office maintenance and facilities-related requirements.
Help ensure the office operates smoothly on a daily basis.
Support company events, meetings, and employee activities when required.

Team Support

Assist different departments with administrative tasks.
Coordinate communication between employees, management, clients, and visitors.
Support the HR team with basic administrative activities when required.
Handle confidential information professionally and responsibly.
Take on additional administrative responsibilities as assigned by management.

Requirements

High school diploma or Bachelor's degree preferred.
Previous experience as a receptionist, administrative assistant, front office executive, or similar role is preferred.
Freshers with excellent communication and organizational skills are welcome to apply.
Excellent verbal and written communication skills.
Professional, friendly, and confident personality.
Good organizational and time-management skills.
Basic knowledge of Microsoft Office / Google Workspace.
Ability to handle phone calls and communicate professionally with clients and visitors.
Ability to multitask and prioritize responsibilities.
Strong attention to detail.
Positive, proactive, and team-oriented attitude.
