Accounts Executive

Job Type: Full-Time | Permanent | Regular
Department: Finance & Accounts
Reports To: Finance Manager / Accounts Manager

Job Summary

We are seeking a detail-oriented and organized Accounts Executive to manage day-to-day accounting operations, including accounts payable, accounts receivable, billing, reconciliations, vendor management, and financial record maintenance. The ideal candidate should possess strong analytical skills, experience with accounting software such as QuickBooks, and the ability to ensure accuracy and compliance in all financial transactions.

Key Responsibilities

Manage accounts payable and accounts receivable processes efficiently and accurately.
Process and maintain incoming and outgoing invoices, billing records, and financial documentation.
Communicate professionally with clients and vendors regarding billing discrepancies, payment status, and account-related inquiries.
Monitor overdue accounts and initiate collection follow-ups for outstanding payments.
Maintain accurate accounting ledgers, financial records, and supporting documentation.
Perform monthly reconciliations of payable and receivable reports to ensure accuracy of transactions and balances.
Audit invoices, ledgers, and payment records to verify billing details, invoice numbers, tax calculations, and vendor information.
Monitor vendor payment agreements and identify opportunities for cost savings, discounts, or improved payment terms.
Ensure timely processing and recording of applicable sales tax payments and related documentation.
Track company credits, adjustments, and reimbursements to ensure proper application against vendor accounts.
Prepare and maintain financial reports, spreadsheets, and quality control logs as required by management.
Support internal audits and ensure compliance with company accounting policies and financial procedures.
Coordinate with management regarding account discrepancies, financial risks, or unresolved issues.
Ensure all accounting tasks are completed within established deadlines and reporting timelines.

Qualifications & Skills

Bachelor’s Degree in Accounting, Finance, or a related field.
Proven experience in Accounts Payable (AP) and Accounts Receivable (AR).
Hands-on experience with QuickBooks or similar accounting software.
Strong proficiency in Microsoft Excel, including spreadsheet creation, data management, and reporting.
Solid understanding of accounting principles, reconciliations, invoicing, and financial reporting.
Strong mathematical, analytical, and problem-solving abilities.
Excellent verbal and written communication skills.
Strong organizational skills with exceptional attention to detail and accuracy.
Ability to prioritize tasks and consistently meet deadlines in a fast-paced environment.
Experience handling client communication and vendor coordination professionally.
Familiarity with U.S. accounting practices, taxation, and financial compliance standards is preferred.
Intermediate to advanced data entry and numeric keypad (10-key) skills preferred.
